Position Description: We are seeking an Administrative Support professional to join our Operations team on a part-time basis (24 hours per week). This role primarily involves providing administrative assistance to our Senior programming, ensuring efficient scheduling, records management, and client communication.

Primary Duties:

Maintaining Home Support Team Schedules: Efficiently schedule appointments and coordinate with Home Support Staff, Manager, and clients to manage schedules effectively.

Client Contact and Appointment Booking: Contact clients, book appointments, and manage the process from file creation to closure and archiving of records.

Invoicing: Handle invoicing and potentially other miscellaneous administrative duties as assigned.

Time Sheets: Process staff time sheets and expense records for submission to accounting.

Database Maintenance:



Maintain various databases, including data entry, generating statistics, and creating reports.

Effective Communication: Maintain good communication with clients, volunteers, and staff within the organization, with a focus on telephone communication with senior clients.

Responding to Inquiries: Handle both public and internal inquiries and requests.

Front Desk Relief: Provide front desk coverage as part of the Operations team.

Qualifications:

- Relevant Post-Secondary Education: Some level of relevant post-secondary education is required. Equivalencies may be considered.
- Proficiency in Software: Candidates should be proficient in various software, including Sage, Sage HR, Access, Excel, Microsoft Office 365, and Adobe, for administrative tasks.
- Excellent Communication and Organizational Skills: Strong communication and organizational skills are essential, particularly for telephone communication with senior clients.
- Experience with Data Collection: Experience in data collection may be beneficial for maintaining databases and generating statistics.
- Satisfactory Background Checks: Candidates must undergo background checks, including a satisfactory criminal record check and child intervention check.

Closing Date: Applications will be reviewed on a rolling basis until a suitable candidate is found. Only those applications that are selected will be contacted for an interview. Pay: $17.91-$20.76 per hour
