As we continue to expand, we are looking for a skilled Property Administrator to join our team and support our growing portfolio.
Position Overview The Assistant Property Manager plays a key role in supporting Property Managers and ensuring the smooth day-to-day operations of our properties. The ideal candidate is detail-oriented, proactive, and confident in handling a wide range of administrative tasks while delivering outstanding customer service.
Key Responsibilities:
· Provide administrative support to Property Managers, including preparing correspondence, notices, reports, and meeting documents
· Coordinate and schedule maintenance requests and service appointments
· Respond to resident inquiries by phone and email in a timely and qualified manner
· Maintain accurate records, files, and documentation for all assigned properties
· Assist with processing invoices, purchase orders, and work orders
· Support the planning and execution of annual general meetings and board meetings
· Communicate with contractors, vendors,
and residents regarding property-related matters
· Ensure tasks are completed within deadlines and urgent matters are prioritized appropriately
· Handle sensitive or challenging situations using sound judgment and professionalism
Qualifications & Requirements:
· Minimum 2+ years of assistant property administration or related experience
· Strong organizational skills with exceptional attention to detail
· Ability to multi-task and prioritize time-sensitive tasks
· Experience dealing with difficult people and navigating sensitive situations
· Proficient in Microsoft Office (Word, Excel, Outlook)
· Yardi software knowledge is an asset
· Excellent communication and customer service skills
· Reliable vehicle and a valid driver’s license
