Insurance Replacement Rental Coordinator & Business Development RepresentativeOverview

We are looking for a highly motivated, professional, and customer-focused individual to join our growing team.

Please note: We are not a traditional car rental company. Our business specializes in insurance replacement vehicle rentals, providing temporary replacement vehicles to customers whose vehicles are being repaired following an accident or insurance claim. We work closely with insurance companies, adjusters, body shops, and customers throughout the rental process.

This position combines customer service, administration, rental coordination, insurance follow-up, and business development. We are looking for someone who communicates confidently, stays highly organized, takes initiative, and is comfortable representing our company professionally both over the phone and in person.

Key Responsibilities

- Provide excellent customer service and maintain a professional, friendly, and helpful attitude when dealing with customers, insurance representatives, body shops, and business partners.
- Make and receive phone calls regarding rentals, insurance claims, authorizations, extensions, vehicle status, invoices, and payments.
- Maintain regular communication with insurance companies and adjusters to obtain rental authorizations, request extensions, follow up on outstanding invoices/payments, and resolve rental-related matters.
- Visit body shops and collision centres to professionally represent the company, introduce our services, build relationships, and develop new referral business.
- Follow up with existing body shop partners and maintain strong long-term business relationships.
- Coordinate vehicle deliveries, exchanges, and returns with customers and body shops.




- Complete detailed documentation whenever a vehicle is rented or returned, including rental agreements, customer information, vehicle condition, mileage, fuel level, photographs, damage inspections, and other required records.
- Ensure all rental files are complete, accurate, and properly documented from the beginning of the rental until the file is closed and payment is received.
- Monitor active rentals and communicate with customers, body shops, and insurance companies when updates or extensions are required.
- Follow up on outstanding accounts and communicate professionally with insurance companies regarding unpaid invoices or payment issues.
- Maintain accurate records using our rental management system and Microsoft Office.
- Assist management with day-to-day operations and help ensure vehicles are properly prepared and accounted for before and after each rental.
- Actively look for opportunities to grow the business by developing relationships with body shops, collision centres, insurance professionals, and other potential referral partners.

Qualifications & Experience
- Strong customer service skills are essential.
- Excellent verbal and written communication skills.
- Professional and confident telephone manner.
- Comfortable making outbound calls and following up with businesses and insurance companies.




- Comfortable visiting body shops and collision centres and representing the company in person.
- Sales, business development, or relationship-building experience is a strong asset.
- Previous experience in car rental, automotive, collision repair, insurance, claims, or customer service is an asset but not required.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple active rental files and follow-ups at the same time.
- Comfortable using Microsoft Word, Excel, email, and computer-based management systems.
- Ability to work independently, take initiative, and follow through on outstanding matters.
- Valid Ontario driver's licence and ability to travel locally to body shops and business partners.
- Additional languages are considered an asset.

Because we specialize in insurance replacement rentals rather than traditional daily car rentals, this position requires someone who can manage relationships between the customer, body shop, insurance company, and our rental operation while ensuring every file is properly documented and followed through to completion.

We provide training on our rental procedures and insurance replacement process. We are looking for someone who wants to grow with the company and become an important part of our operation.!

Pay: $17.60-$23.30 per hour
