DAYCARE Supervisor (Assistant Director) – DUTIES & RESPONSIBILITIES
Position: Daycare Director Location: Alberta Reports To: Owner/Operator
Employment Type: Full-Time
Position Overview
We are seeking a responsible, organized, and experienced Daycare Director to oversee the day-to-day operations of our childcare centre. The Director will be responsible for ensuring high-quality programming, supporting and supervising staff, maintaining accurate records, managing admissions and registrations, coordinating schedules, working with families, and ensuring the centre remains compliant with all applicable Alberta childcare licensing requirements.
Key Duties & Responsibilities
1. Day-to-Day Centre Operations
- Oversee the daily operation of the daycare and ensure the centre runs smoothly.
- Maintain a safe, welcoming, inclusive, and professional environment for children, families, and employees.
- Ensure proper ratios, room coverage, supervision, and daily operational requirements are maintained.
- Address day-to-day issues, concerns, and emergencies promptly and professionally.- Coordinate communication between management, educators, families, and other stakeholders.
2. Programming & Curriculum
- Oversee the planning and implementation of age-appropriate childcare programming.
- Support educators in developing engaging, developmentally appropriate activities.
- Monitor classroom programming and ensure it meets the centre's standards and applicable Alberta requirements.
- Review lesson plans, observations, documentation, and children's developmental records.
- Encourage inclusive programming that supports children's individual needs and interests.
- Ensure daily routines, activities, outdoor play, meals, rest periods, and transitions are appropriately organized.
3. Staff Management & Supervision
- Recruit, interview, onboard, train, and support daycare employees as required.- Prepare and maintain employee schedules.
- Ensure appropriate staffing and room coverage every day.- Monitor attendance, punctuality, performance, and professional conduct.
- Provide coaching, feedback, and performance evaluations.
- Coordinate staff meetings, training, career development, and orientation.
- Arrange coverage for staff absences, vacations, sick days, and other schedule changes.
- Maintain employee records and ensure required documentation and certifications are current.
- Promote positive teamwork and a respectful workplace.
4. Licensing & Regulatory Compliance
- Act as a primary contact for daycare licensing and regulatory matters.
- Maintain up-to-date knowledge of Alberta childcare licensing requirements, standards, policies, and procedures.
- Ensure the centre is prepared for licensing visits, inspections, and follow-up requirements.
- Maintain all required licensing documentation and records.- Respond to licensing requests and ensure required corrective actions are completed.
- Monitor staff qualifications, certifications, training, and other required documentation.- Ensure policies and procedures are reviewed and updated as required.
- Communicate licensing or regulatory changes to the owner and staff.
5. Records, Documentation & Paperwork
- Keep daycare records accurate, complete, organized, and up to date.
- Maintain children's files, employee files, attendance records, incident reports, medical/allergy information, emergency contacts, and other required documentation.
- Ensure required forms and paperwork are completed, signed, filed, and renewed on time.- Conduct regular reviews of files to identify missing or expired documentation.
- Maintain confidentiality and protect children's, families', and employees' personal information.
- Ensure the centre is prepared for audits, inspections, and administrative reviews.
6. Admissions, Registrations & Family Enrollment
- Manage the complete admissions and registration process for new children.
- Respond to parent inquiries, tours, applications, waitlists, and enrollment requests.- Collect and verify required registration documents.
- Ensure children's files are complete before or at the time of admission, as required.- Coordinate start dates, room placements, schedules, and transitions for new children.
- Maintain accurate enrollment and withdrawal records.- Communicate admission policies, procedures, fees, schedules, and expectations to families.
- Maintain professional and positive relationships with parents and guardians.
7. KinderLogix App / Digital Administration
- Manage and maintain the daycare's KinderLogix app and ensure information is accurate and current.
- Ensure children's registrations, attendance, room assignments, schedules, parent information, and other required information are properly entered and maintained.- Support staff in using the app correctly and consistently.
- Monitor daily attendance and required digital records.
- Communicate with families through the approved app functions when appropriate.
- Keep digital records organized and up to date.- Troubleshoot routine administrative issues and coordinate support when technical assistance is required.
8. Communication With Parents & Families
- Maintain professional, respectful, and timely communication with parents and guardians.
- Address questions, concerns, complaints, and requests appropriately.
- Keep families informed about important daycare policies, programming, schedules, events, and operational changes.
- Support positive parent-educator relationships.
- Escalate serious or sensitive concerns to the owner/operator when necessary.
9. Health, Safety & Emergency Procedures
- Ensure health, safety, sanitation, supervision, and emergency procedures are followed.- Monitor incident and accident reporting procedures.
- Ensure emergency contacts, allergy information, medication information, and other safety records are current.
- Ensure staff understand emergency procedures and required protocols.- Follow appropriate procedures for illnesses, injuries, emergencies,
and child protection concerns.
- Ensure required health and safety documentation is maintained.
10. Administrative & Financial Support
- Assist the owner/operator with administrative operations of the centre.
- Monitor enrollment, attendance, staffing, and operational information.
- Assist with invoicing, fee-related administration, or other office duties as assigned.- Maintain organized digital and physical records.
- Prepare reports and documentation requested by the owner/operator or regulatory authorities.
11. Leadership & Quality Improvement
- Provide strong leadership and direction to the daycare team.
- Establish and maintain professional standards for staff.
- Identify operational issues and develop practical solutions.
- Regularly review centre procedures and recommend improvements.
- Promote continuous improvement in programming, staff performance, communication, and family services.
- Lead by example and maintain a positive, professional workplace culture.Daily Responsibilities May Include
- Review staff attendance and ensure adequate classroom coverage.- Check children's attendance and classroom operations.
- Monitor programming and classroom activities.
- Respond to parent and staff questions.
- Address staffing changes and arrange coverage when necessary.
- Review KinderLogix records and attendance.
- Follow up on incidents, documentation, and outstanding paperwork.
- Check licensing and compliance requirements.
- Communicate important updates to staff and families.
- Complete administrative work and maintain accurate records.
- Ensure the daycare is safe, clean, organized, and operating according to centre policies.Qualifications & Skills
- Experience in a licensed childcare setting, preferably in a supervisory or management position.
- Knowledge of Alberta childcare licensing requirements and regulations.
- Strong leadership, communication, organization, and problem-solving skills.- Ability to manage multiple priorities in a busy childcare environment.
- Strong computer and administrative skills.- Experience with childcare management software/apps is an asset.
- Ability to work professionally with children, families, educators, licensing representatives, and management.
- Commitment to providing high-quality, inclusive, and safe childcare.
- Required education, certifications, first aid, and other qualifications as applicable to the position and Alberta requirements.
Overall Responsibility The Daycare Director is responsible for the overall daily management and successful operation of the childcare centre, including programming, staff supervision, scheduling, admissions, registrations, documentation, KinderLogix administration, parent communication, licensing compliance, health and safety, and maintaining high standards of childcare.The Director is expected to work closely with the owner/operator to ensure that the centre operates efficiently, remains compliant with Alberta requirements, and provides a safe, nurturing, and high-quality environment for every child and family. Pay: $28.00-$31.50 per hour
