The Role
We're seeking an experienced and motivated Clinic Manager to run the day-to-day operations of our dynamic dermatology clinic on a 6-month fixed-term contract, with the possibility of extension or transition to a permanent role based on clinic needs.
You're who staff, physicians, and patients look to when something needs sorting out, and the one who keeps the floor moving on a busy day. It suits someone who enjoys structure and problem-solving, who can motivate a team and set the tone, and who moves comfortably between physician relations, HR, billing, and hands-on operations. The right person stays calm and solutions-focused when the clinic is full, makes clear decisions, and can have direct conversations when they're needed.
Core Responsibilities
Point Person & Physician Liaison
- Be the main point of contact in the clinic for staff, physicians, and patients, and keep the front desk, back office, and clinical areas running smoothly
- Step in wherever needed to keep the day on track
- Serve as the main link between physicians and clinic operations, and liaise directly with the Medical Director
- Handle escalated patient concerns and workplace issues with discretion and fairness
Team Leadership & Human Resources
- Lead, motivate, and support the clinic team, both on-site and off-site, and keep standards and morale high on a busy floor
- Set clear expectations and hold the team accountable in a fair, consistent way
- Manage full-cycle recruiting, onboarding, and terminations for staff and new physicians
- Hire, train and support new hires, including performance management and coverage planning (vacation requests, sick time)
- Establish and maintain clinic policies, procedures and workflows
Scheduling & Oversight
- Oversee patient booking, physician scheduling templates, referral and specimen management in Med Access EMR and related software
- Troubleshoot day-to-day hardware and software issues, and coordinate with our managed services provider
- Maintain relationships with vendors and pharma reps by coordinating rep lunches and keeping sample supply stocked for physician use
- Ensure compliance with BC College standards for privacy/confidentiality, clinic operations, medical device reprocessing
Billing, Cash Handling & Private Pay
- Support clinic billing, including MSP submissions, reconciliations, rejections, and remittances, working alongside physicians and billing staff
- Manage daily cash handling procedures
- Process private-pay (cosmetic) transactions and keep records accurate
Retail & Cosmetic Sales
- Support the clinic's retail and cosmetic services by helping coordinate promotions and keeping the team engaged in recommending products and treatments to patients
- Encourage a service culture where staff are comfortable introducing patients to relevant cosmetic offerings
Vendor & Third-Party Management
- Serve as the main point of contact for all third-party vendors (medical and office supplies, equipment, inventory, service contracts)
- Manage vendor relationships, contracts, and day-to-day coordination
Day-to-Day Operations & Patient Experience
- Coordinate inventory management
- Support a consistently positive patient experience
- Keep staff informed and aligned through regular communication (team huddles, updates, and one-on-one check-ins)
- Draft and implement staff training materials
What We're Looking For We're interested in candidates with a background in Healthcare Administration, Practice Management, Human Resources, Business/Operations Management, or a related field.
The following skills are especially valued:
- 3-5+ years of management experience, ideally in a medical or healthcare setting
- Demonstrated experience with HR
- Interest or experience in retail, sales, or cosmetic services an asset
- Experience with Med Access EMR and Ocean
- Experience with CHIME
- Experience with payroll software
- Strong computer skills. You should be very comfortable with Microsoft Word, Excel, and Adobe, and enthusiastic about using modern virtual tools (e.g., Claude, Google Workspace, Slack, Notion) to build and organize clinic systems, workflows, policies, and procedures
- This is an on-site role: you'll be in the clinic with the team day-to-day, running regular check-ins and available when questions come up
- Experience with MSP billing (submissions, rejections, reconciliation), plus experience with cash handling and payment processing
- Excellent organizational, communication, and conflict-resolution skills
- A calm, solutions-oriented management style
- A clean criminal record check
