Community Events & Rentals Manager

Position Type: Full-Time, 40hrs/week

Schedule: Tuesday–Saturday (9:30am-6:00pm)

Location: Cranston Residents Association

Reports To: General Manager

Position Summary The Community Events & Rentals Manager provides leadership and oversight for the organization’s recreation, community events, and facility rental portfolio. This position is responsible for creating and delivering engaging community events and recreation opportunities, overseeing the recreation team, managing facility rentals, supporting day-to-day facility operations, and contributing to the organization’s broader operational and strategic priorities.

The Manager provides direct leadership to a small recreation team, including the Programs Coordinator, seasonal Camps Coordinators, and Community Engagement Coordinator, while working collaboratively with the General Manager (GM), management team, residents, program participants, parents, community members, renters, vendors, sponsors, and other stakeholders.

This is a highly cooperative, community-facing position requiring strong organizational, leadership, communication, customer service, event planning, and administrative skills.

Key Responsibilities

Recreation & Team Leadership

- Provide day-to-day leadership, direction, coaching, and support to the recreation team.
- Oversee the work of the Programs Coordinator, seasonal Camps Coordinators, and Community Engagement Coordinator.
- Establish priorities, timelines, and expectations for recreation programming, events, camps, and community engagement initiatives.
- Support staff development, performance management, scheduling, and accountability.
- Ensure recreation programs and activities are delivered safely, professionally, and in alignment with organizational standards.
- Foster a positive, collaborative, and service-oriented team culture.
- Act as a resource and escalation point for staff, parents, residents, and program participants.

Community Events

- Plan, design, coordinate, and facilitate a variety of community events and activities throughout the year.
- Develop event concepts, timelines, operational plans, staffing requirements, and event logistics.
- Coordinate event setup, programming, vendors, volunteers, supplies, entertainment, and teardown as required.
- Ensure events are delivered within approved budgets and monitor expenses throughout the planning and delivery process.




- Evaluate events following completion and identify opportunities for improvement.
- Build strong relationships with community members, sponsors, vendors, partners, and other stakeholders involved in events.
- Ensure events reflect the organization’s values, community needs, and overall objectives.

Facility Rentals & Booking Management

- Oversee the facility rental portfolio, including short-term and long-term rentals.
- Serve as the primary point of contact for rental inquiries and confirmed bookings.
- Liaise with individuals, families, community groups, organizations, businesses, and other parties interested in renting facilities.
- Coordinate rental schedules, facility requirements, access, setup, policies, and operational needs.
- Ensure renters understand and comply with applicable facility policies, procedures, safety requirements, and rental agreements.
- Maintain accurate rental records, calendars, documentation, and related administrative information.
- Work with internal teams and external parties to ensure facilities are appropriately prepared for rentals and events.

Facility & Operational Leadership

- Provide overarching day-to-day leadership and operational support for the facility.
- Monitor facility activities and help ensure daily operations run smoothly.
- Identify operational challenges and assist in developing practical solutions.
- Support the management team with day-to-day operational decision-making and problem-solving.
- Step in to assist with facility operations and other priorities when required.
- Work closely with the GM and management team to support organizational priorities and objectives.
- Take on special projects, initiatives, and additional responsibilities as assigned by the GM.
- Maintain strong communication across departments and ensure recreation and event activities are coordinated with broader organizational operations.

Safety & Risk Management

- Support the organization’s safety leadership and established safety processes.
- Ensure events, programs, camps, and rentals are planned and delivered with appropriate consideration for health,



safety, security, and risk management.
- Support incident reporting, emergency procedures, and other safety-related processes as required.
- Promote a culture of safety and accountability among staff, participants, renters, and community members.

Budgeting & Administration

- Monitor event and recreation-related budgets.
- Track expenses and ensure activities remain within approved financial parameters.
- Assist with forecasting, purchasing, invoicing, and other financial administration related to events, programs, and rentals.
- Maintain accurate records, schedules, contracts, forms, correspondence, and other administrative documentation.

Qualifications & Experience

- Post-secondary education in recreation, event management, hospitality, business administration, community development, or a related field is considered an asset.
- Previous experience in recreation, community programming, event planning, facility management, hospitality, or a related environment.
- 4-5 years of demonstrated experience supervising or leading staff.
- Experience planning and delivering community events from concept through completion.
- Experience managing budgets and tracking event or program expenses.
- Experience coordinating facility rentals and working with a variety of clients or community stakeholders.
- Strong administrative and organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent verbal and written communication skills.
- Strong customer service and relationship-building abilities.
- Experience working in a community-facing environment is an asset.
- Knowledge of workplace safety, event safety, risk management, and operational procedures is an asset.
- Proficiency with standard office and scheduling software.

Certifications: Standard First- Aid & CPR C- required

Criminal Record Check with Vulnerable Sector- required
