The Constituency Assistant/Outreach Officer assists the office in builds and maintains relationships with residents, community organizations, and stakeholders to strengthen the Member’s presence in the riding. The incumbent identifies key local issues by gathering community feedback, coordinating volunteer and outreach initiatives, planning events, and supporting public relations and communication activities. The incumbent is required to respond to a large volume of constituent correspondence alongside data entry.
This role is highly people-focused and requires flexibility, initiative, and strong communication and organizational skills. This individual often represents the Member at public events, where professionalism and diplomacy are critical. The ability to manage competing priorities, adapt to last-minute changes, and work evenings or weekends for community activities is an significant part of this position.
Prompt follow-ups, responses to constituent queries, and exceptional attention to customer service are all essential for success in this role.
Duties and responsibilities
- Manages, triages and reviews the Member’s emails and communications. Prioritizes, sorts and evaluates correspondence/documentation and distributes it to the appropriate people. Ensures effective communications by properly organizing and screening information.
- Manages the Member’s agenda, reviews and discusses commitments, schedules meetings and events and informs the Member of any changes.
- Drafts correspondence to Ministers and stakeholders as required.
- Keeps the Member’s schedule up to date, which includes planning and coordinating meetings, making travel arrangements, scheduling appointments and conferences, and providing specific and pertinent information to the Member on all relevant matters.
- Provides various administrative and/or business services to the Member and staff to ensure the flow of operations and to help the constituency office achieve its goals and priorities.
- Creates and maintains systems to monitor requests and/or questions to be handled and their respective deadlines, as well as a system for distributing files.
- Acts as the first line of response with constituents for all incoming cases (e.g. immigration, Canada Revenue and Old Age Security files) and provides information, advice and support in person, over the telephone and in writing.
- Contacts government services on behalf of constituents to obtain more information and follow up on available national programs as well as to seek and achieve resolution in all cases and follows up with constituents throughout the client file life cycle. Ensures cases are dealt with in a sensitive, confidential and timely manner.
- Drafts responses to constituent emails and letters, including on general policy and constituency casework issues.
- Helps with special projects that aim to improve the effectiveness of the office’s administrative operations.
- Develop and implement strategies to engage with community members, organizations and local stakeholders, and increase public awareness of the Member’s initiatives and services.
- Organize and attend community events to represent the Member and gather feedback from residents.
- Monitor local issues and media coverage relevant to the Member’s constituency.
- Act as a first point of contact in the community to represent the Member, and build and maintain relationships with local partners, including non-profit organizations, various businesses, advocacy groups and faith-based organizations.
- Identify emerging community issues and advise the Member on concerns, priorities and opportunities for engagement.
- Coordinate volunteer activities and support the delivery of community-based projects and initiatives.
- Prepare communication materials, event summaries, and reports to keep the Member informed of local activities and outcomes.
- Track community engagement metrics and feedback to help evaluate the impact of outreach activities.
- Performs other related duties within the scope of the position.

- Ability to work efficiently under pressure, respond to short-term demands, and adapt to new situations.
- Exceptional judgment and interpersonal skills: ability to demonstrate professionalism, diplomacy and sound judgment when representing the Member.
- Flexibility in working hours, including availability during evenings and weekends for events.
- High degree of self-motivation to learn and take initiative.
- Strong understanding of the local community and its social, cultural and economic dynamics.
- Excellent communication, public speaking and interpersonal skills, with the ability to build rapport across diverse communities.
- Excellent event planning and project management skills.
- Proficiency in social media platforms, digital engagement tools and public relations practices.
- Strong organizational and time management skills, with attention to detail and consistent ability to follow-through on multiple priorities and meet deadlines.
- Deep interest in Canadian politics and awareness of current local, national and global issues
- Knowledge of the Member’s policy areas or party platform is an asset.
Education and experience
- Experience working in an office setting required
- Post-secondary education from a recognized institution required
- Experience in community engagement, public relations or event coordination, or experience in similar outreach-focused roles.
- Experience working in a political, government or public service environment is an asset.
Pay: $18.25-$30.00 per hour
