Conference Production Coordinator

Key Responsibilities

As a Conference Production Coordinator, you’ll be responsible for researching industry trends to identify timely and relevant topics, curating compelling agendas for our summits. A key part of the role is recruiting high-level guest speakers using creative outreach strategies and maintaining strong professional relationships. You’ll also serve as the main point of contact onsite at the event—ensuring all speaker sessions run smoothly and delivering a seamless experience for both speakers and attendees.

This is a energetic role ideal for someone who is research-driven, organized, and thrives in a fast-paced, high-impact environment. You must be an exceptional communicator and confident engaging with senior-level executives.





Day-to-Day Tasks

75-80% of Your Role – Agenda Building & Speaker Recruitment

- Conduct ongoing market research to stay up to date on industry hot topics and trends.
- Develop a contact list of potential speakers appropriate for the conference program.
- Create a coherent, commercially driven agenda outline that addresses industry challenges, emerging technologies, investment areas, and other key topics.
- Proactively reach out to industry leaders (CEOs, Presidents, VPs, SVPs, etc.) through cold calling, emailing, LinkedIn messaging, and other outreach methods to invite them to speak.
- Support the delegate and sponsorship sales campaigns.
- Oversee agenda content and copy edits.
- Maintain speaker recruitment targets and meet weekly deadlines.

20-25% of Your Role – Onsite Execution & Speaker Liaison

- Greet speakers upon arrival with professionalism and ensure a seamless experience.
- Conduct venue and presentation room walk-throughs with speakers.
- Coordinate with the AV service provider on audio and visual staging requirements and communicate these details to speakers.
- Creatively problem-solve any speaker-related obstacles onsite.
- Conduct post-presentation interviews with speakers for content development.

Qualifications & Skills: To produce our summits from initial conception to final execution, we seek a passionate, self-motivated, and hard-working professional with:

- Bachelor’s degree preferred
- Exceptional research,



writing and editorial skills
- Strong communication and client-facing abilities
- Excellent project coordination and time-management skills
- Strong business acumen and interest in industry trends
- Ability to manage multiple projects and meet tight deadlines
- A proactive, detail-oriented and results-driven approach
- Previous events, conferences or B2B experience is an asset
- A valid passport and the ability to travel to the U.S. (up to five times per year).
- Previous event experience (a plus but not required).

The Package:

- Base salary with annual scheduled review periods for growth.
- Annual bonus based on personal and company performance.

- Early start to the weekend—Fridays end at 4:30 PM!
- Monthly company-wide town hall meeting with announcements, awards and social festivities, plus annual summer and winter company parties

Working hours: Normal business hours are 8:30 a.m. to 5:00 p.m., Monday to Thursday, and 8:30 a.m. to 4:30 p.m. on Friday, with a one-hour lunch break between 12:00 p.m. and 2:00 p.m. Office Location: 555 Richmond Street West, Toronto, ON

Working Environment : First six weeks will be 100% in office. Work-from-home flexibility up to 7 days each month following the initial six week period based on performance in good standing.

Travel Requirement: All candidates must have the ability and willingness to travel to the USA up to 5x a year.
