Position Summary The Contract Administrator provides administrative and operational support to the Senior Manager, Contracts & Legal by assisting with the day-to-day administration of the organization's contract lifecycle management process. This position plays a critical role in ensuring contracts are accurately prepared, revised, routed, executed, and maintained throughout the contract lifecycle.
The Contract Administrator serves as the primary administrator of the organization's Contract Lifecycle Management (CLM) system and supports the management of employment agreements, independent contractor agreements, facility agreements, vendor contracts, and other corporate agreements. Working under the direction of the Senior Manager, Contracts & Legal, this individual helps maintain standardized contract templates, incorporates approved revisions, coordinates contract execution through Docusign CLM, and ensures contractual documentation is organized, accurate, and readily accessible.
This position supports the contract administration function and does not negotiate contract terms, provide legal advice, or establish contract policies.
Essential Duties and Responsibilities
- Support the Senior Contracts Manager with the administration of the organization's contract lifecycle management process.
- Prepare, route, revise, proofread, and distribute contracts using approved company templates.
- Serve as the primary administrator of the company's CLM system, including maintaining templates, document organization, and contract records.
- Coordinate contract execution through Docusign and monitor agreements through the approval and signature process.
- Incorporate approved contract revisions as directed by the Senior Manager, Contracts & Legal while maintaining document integrity and version control.
- Maintain and organize the centralized contract repository to ensure executed agreements are accurately stored and easily retrievable.
- Track contract status, pending approvals, execution dates, amendments, renewals, and expiration dates.
- Notify the Senior Manager, Contracts & Legal and appropriate stakeholders of upcoming contract renewals, expirations, and required actions.
- Generate contract reports, status updates, and contract metrics from the CLM system.
- Ensure contract templates remain current by implementing approved updates and maintaining version control.
- Review contract requests for completeness and verify required documentation has been received before processing.
- Partner with Talent Acquisition, Human Resources, Operations, Finance, Payroll, Revenue Cycle, Credentialing, Compliance, and Legal to facilitate timely contract execution.
- Respond to internal questions regarding contract status, routing, and execution timelines.
- Assist with contract-related audits by providing documentation and supporting records.
- Identify opportunities to improve contract workflows and increase efficiency within the CLM system.
- Maintain confidentiality of sensitive contractual, financial, and company information.
- Perform other duties as assigned.
Qualifications
- Bachelor's degree in Business Administration, Legal Studies, Healthcare Administration, Paralegal Studies, or a related field preferred.
- Two to five years of experience supporting contract administration, legal operations, healthcare administration, or business operations.
- Experience working with Contract Lifecycle Management platforms, preferably DocuSign CLM.
- Experience preparing and revising contracts using standardized templates.
- Working knowledge of contract terminology and legal document formatting.
- Experience maintaining document repositories and version control.
- Healthcare industry experience preferred.
Required Knowledge, Skills, and Abilities
- Strong organizational and time management skills.
- Exceptional attention to detail with the ability to identify document inconsistencies and formatting errors.
- Ability to understand contract terminology and accurately implement approved revisions.
- Proficiency with Microsoft Word, Excel, Outlook, Teams, and Adobe Acrobat.
- Advanced experience working within Contract Lifecycle Management systems.
- Ability to prioritize multiple assignments while meeting deadlines in a fast-paced setting.
- Strong written and verbal communication skills.
- Professional judgment and discretion when handling sensitive business information.
- Ability to work independently while collaborating effectively with cross functional teams.
- Excellent customer service and relationship building skills.
