Overview / Responsibilities
Wood is currently recruiting for a Contracts Administrator. This position is a remote based, 7 days on, 7 days off role, with periodic trips to site in the Elk Valley, British Columbia. Reporting to the Construction Manager and Contracts Manager, the Contracts Administrator is responsible for providing commercial and administrative support to the construction management team for the EPCM project in order to meet and/or exceed client expectations. Responsibilities:
- Perform post-award contract management related activities for unit price, time & materials and lump sum construction contracts of various disciplines and service agreements
- Provide commercial and administrative support to the construction management team for all contracts and service agreements from award until completion including contract close-out activities
- Schedule and chair kick-off meetings with the contractor
- Ensure contractor has submitted all required deliverables before starting work
- Manage and file contractual documents
- Prepare all contractual letters to the contractor
- Check timesheets for contract conformance (rates, backup)
- Review contractor invoices and progress payment certificates with cost control
- Review and monitor contractor costs, forecasts and requests for changes
- Prepare change directives and related change orders for approved changes to the scope of work
- Participate in contract cost, schedule and forecast review meetings and project progress
- Conduct weekly contractor review meetings
- Record meeting minutes (kick-off,
weekly contract review, etc.)
- Prepare contract section of daily, weekly, monthly and closeout reports
- Prepare a contracts management log to be updated on an ongoing basis while identifying contractual changes and potential difficulties
- Facilitate and review monthly contractor performance assessment
- Prepare contractor key performance indicators on a monthly basis
- Assist with identifying potential contract changes and claims and their timely resolution
- Develop and maintain communication channels with client, stakeholders and internal Wood personnel to ensure that work flows smoothly
- Prepare, obtain approvals and issue closeout documents
Qualifications
- Excellent written and verbal communication skills
- Ability to administer contracts $5M - $40M in size
- Self-sufficiency with ability to function without secretarial/administrative support
- Minimum 8 years of experience as a Contracts Administrator on site-based construction projects (preference given to people with Mining & Minerals experience)
- Familiarity with the formation of construction contracts including service and consultant agreements/contracts
- Ability to breakdown contract Schedule "A’s" into a framework to be used as a progress construction monitoring tool
- Familiar with unit price,
time & materials and lump sum contracts
- Familiar with Work Breakdown Structures (WBS) and their application when developing/using progress monitoring
- Advanced computer skills with emphasis on MS Office applications
- Excellent organizational skills with the ability to work in a team environment
- Must be legally authorized to work in Canada for any employer
- Undergraduate or graduate degree in engineering, contract management, construction management or related discipline from a recognized university is beneficial
- Contract administration experience in mining or heavy industrial projects
- Proven track record of successful project completion with respect to safety, cost and schedule, while exceeding customer expectations
- Willingness to travel
