Event Production Coordinator
Proper Plan Productions is seeking an organized, resourceful and highly detail-oriented Event Production Coordinator to support the planning and execution of luxury events, brand activations and experiential programs.
Working closely with the Executive Producer, this person will help move projects from initial concept through production and onsite execution. The ideal candidate is confident communicating with clients and vendors, exceptionally organized and naturally resourceful when sourcing products, materials and production solutions.
This is a hands-on role for someone who enjoys the details of event production, takes initiative and can confidently move several projects forward at once. The successful candidate will be comfortable working in a fast-paced environment where priorities can shift quickly and every project brings a different set of requirements.
Graphic design experience would be a significant asset. The ability to support presentation decks, event signage, branded materials, artwork revisions and print-ready production files would be highly valued.
Key Responsibilities
- Source event supplies, décor, furniture, rentals, venues, catering, entertainment and production partners.
- Research creative production solutions and identify the right vendors, products and materials for each project.
- Request and compare quotes, prepare purchase orders and confirm quantities, specifications, pricing and deadlines.
- Move projects through production by coordinating artwork, samples, proofs, revisions and client approvals.
- Follow up closely with vendors and fabricators to keep deliverables on schedule and resolve production issues.
- Coordinate logistics,
including deliveries, pickups, storage, venue access, installation and returns.
- Maintain production documents, budgets, schedules, inventories and project updates.
- Support client calls, site visits, installations, onsite execution and load-outs.
The Ideal Candidate Has
- Three or more years of experience in event production, experiential marketing or a creative agency.
- Strong sourcing, purchasing and vendor-management experience.
- A proven ability to move multiple items from initial quote through production, delivery and installation.
- Excellent organizational skills, attention to detail and consistent follow-through.
- Confidence managing suppliers, timelines, specifications, approvals and changing priorities.
- Strong research skills and a natural ability to find creative, practical production solutions.
- Experience tracking costs and maintaining accurate production documents.
- A proactive, calm and solutions-oriented working style.
- Graphic design, artwork preparation or print-production knowledge is a robust asset.
- Flexibility for occasional early mornings, evenings, weekends and travel.
- A valid Ontario driver’s licence.
What to Expect Event production does not always take place during traditional office hours. While this is a full-time position, the role requires some flexibility during active production periods, including occasional early mornings, evenings, weekends and travel. This is an opportunity to work closely with an experienced Executive Producer and contribute to creative, highly visible events and brand experiences from the earliest planning stages through onsite execution.
Pay: $62,000.00-$72,000.00 per year
