Job Title: Executive Administrator (Maternity Leave Coverage)
JOB SUMMARY
This position provides temporary coverage for the Executive Administrator (EA) role while the incumbent is on maternity leave. The primary focus of this coverage role is the day-to-day operational leadership of the Similkameen Country Development Association (SCDA): governance support, financial management, contract compliance and will carry forward select strategic projects already underway. The coverage EA ensures SCDA continues to meet its organizational mandates and funding obligations, and maintains strong relationships with community, regional, and Indigenous partners, throughout the leave period.
This is a fixed-term contract opportunity beginning September 29, 2026, with an anticipated end date of May 31, 2027, and the possibility of extension. The first two weeks (minimum) will be an onboarding and knowledge-transfer period working alongside the current Executive Administrator, transitioning to independent coverage once the EA's leave officially begins.
KEY RESPONSIBILITIES
- Support the Board in governance, policy development, and strategic planning, including meeting coordination (scheduling, agendas, materials, minutes) and maintenance of governance records.
- Support the Board in planning and delivering SCDA’s Annual General Meeting (AGM) in November, including logistics, materials, and reporting.
- Maintain organizational policies, bylaws, and compliance documentation, ensuring activities align with Board direction and regulatory requirements.
- Prepare and monitor budgets with the Treasurer, and is responsible for bookkeeping, payroll, accounts payable/receivable, and reconciliations using QuickBooks Online.
- Monitor expenditures for compliance with funding agreements, and prepare grant claims, financial reports, and quarterly reporting to the Board and funders.
- Work collaboratively with and provide support to the Visitor Services Coordinator and independent contractors as needed.
- Foster a respectful, inclusive, and safe workplace culture, and oversee insurance coverage, contracts, and regulatory compliance.
- Provide oversight and accountability for tourism services delivered under the Tourism Services Agreement and agreements with Destination BC, and support the Visitor Services Coordinator.
- Serve as point of contact for tourism funders and partners, including RDOS and Destination BC, and ensure tourism activities align with SCDA's economic development objectives and community priorities.
- Continue administrative contractor obligations under the service agreement with the Similkameen Valley Planning Society, and maintain existing funding agreements and partnerships with RDOS, LSIB, and regional organizations at a maintenance level.
- Oversee organizational communications, branding, and public messaging, including newsletters, media releases, and public updates.
- Maintain relationships with funders, partners, stakeholders, and community leaders, ensuring consistent, professional representation of SCDA across all platforms.
Complete current strategic projects, including but not limited to:
- Agri-Tourism Strategy — Phase 1: Host Agri-Tourism Connect in November with the Similkameen Valley Planning Society, coordinate one-on-one digital readiness support for selected businesses, and complete Phase 1 grant reporting, and host steering committee meetings over the fall and winter as guided by the Board and Committee.
- Changemakers Series (reduced scope): Deliver the event series at a reduced scope this year.
- Other Initiatives: Other strategic economic development initiatives normally led by the EA (e.g. new grant pursuits, expanded partnership development) may be paused for the coverage period, unless otherwise directed by the Board.
- Other duties as assigned by the Board of Directors, as required.
Please note: This is a small organization,
and some evening and weekend work may be required to support Board meetings, tourism events, and community engagements. Flexibility in scheduling and a willingness to take on tasks outside the core should be expected. That said, this role also offers considerable schedule flexibility. Once the successful candidate has completed training and is fully entrusted with the role's responsibilities, there are no fixed work hours required: the focus is on meeting objectives rather than adhering to a set schedule.
QUALIFICATIONS
- Certificate or Diploma in accounting, finance, business administration, or related discipline.
- 3 years of experience in (non-profit) administration, finance, or business management.
- Experience overseeing publicly funded programs, tourism services, or community-based initiatives.
- Proficiency in QuickBooks Online and Google Workspace.
- Knowledge of cultural safety, accessibility, and community engagement practices.
- BC Class 5 Driver's License and reliable vehicle.
