We are currently seeking an Executive Assistant to join our team, based in Oakville, Ontario.
Reports to: CEO
Position Summary The Executive Assistant provides high-level, confidential administrative and organizational support to our CEO and executives. This position acts as a trusted partner to leadership, helping to manage competing priorities, calendars, meetings, communications, information flow, and follow-up activities.
This position is a full-time in office role, 5 days per week at the Resolve office in Oakville, Ontario.
The successful candidate will demonstrate exceptional judgment, discretion, organization, professionalism, and the ability to anticipate the needs of executives in a fast-paced workplace. This role requires someone who can work independently, manage sensitive information, and ensure leadership priorities are effectively coordinated and executed.
Key Responsibilities
Executive & Leadership Support
- Provide direct administrative support to the CEO and Executive team as assigned.
- Maintain an understanding of leadership priorities and proactively identify upcoming deadlines, conflicts, and requirements.
- Anticipate executive needs and take action before issues arise.
- Coordinate multiple priorities and deadlines with minimal supervision.
- Manage and lead organization of complex calendars, including scheduling,
rescheduling, prioritizing, and coordinating competing commitments.
- Coordinate internal and external meetings, including agendas, meeting materials, technology, logistics, and follow-up.
- Coordinate travel arrangements, accommodations, itineraries, and related logistics as required.
- Manage confidential and sensitive information with a high degree of discretion.
- Screen, prioritize, and appropriately route correspondence, requests, and communications.
- Act as a professional point of contact between executives and internal/external stakeholders.
Communications, Meetings & Governance Support
- Prepare executives for meetings by ensuring relevant documents, information, and briefing materials are available in advance.
- Maintain an executive level, professional and consistent communication style on behalf of leadership.
- Track action items, deadlines, commitments, and follow-up activities arising from leadership meetings.
- Assist with preparation of presentations, reports, briefing notes, correspondence, and other executive-level materials.
- Coordinate executive leadership meetings and ensure timely creation of agendas, meeting packages, minutes, and action-item trackers as required.
- Assist with board, governance, or senior leadership activities where applicable.
- Coordinate confidential communications and ensure information is shared appropriately.
- Liaise with departments and stakeholders to obtain information required by executives.
Special Projects
- Support executives with strategic and operational projects.
- Conduct research, compile information, prepare summaries,
and organize data.
- Coordinate project timelines and deliverables.
- Take ownership of administrative components of special projects from initiation through completion.
- Provide administrative support during organizational initiatives, acquisitions, events, or other major projects as required.
Skills & Qualifications
- Post-secondary education in Business Administration, Office Administration, Executive Administration, or a related field is preferred.
- 5+ years of progressive experience providing Executive Administration to C-suite
- Demonstrate flexibility and adaptability with the ability to manage multiple tasks and changing priorities.
- Excellent written and verbal communication skills.
- Strong proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
- Exceptional organizational and time-management skills.
- Strong attention to detail and follow-through.
- Ability to handle confidential and sensitive information appropriately.
- Strong interpersonal skills and the ability to interact professionally with executives, employees, clients, and external stakeholders.
- Ability to exercise sound judgment and work independently.
Compensation and benefits
- Salary Range: $80,000 - $100,000, commensurate with experience
