We continuously consolidate and organize their key financial documents in a central document management solution, serving as a solid foundation to ensure no part of their financial life is inadvertently neglected. We also provide the leadership to coordinate with their broader team of professionals, from lawyers to accountants to investment managers and insurance brokers. Working closely with clients on a monthly retainer basis, we deliver custom, advanced financial planning strategies that make a real difference in their lives. We are a close-knit, growth-oriented team that values precision, professionalism, and a genuine commitment to our clients' financial well-being. We are looking for a motivated and detail-oriented individual to join us as a Financial Planning Associate.

The RoleAs a Financial Planning Associate, you will work directly alongside our lead Financial Planner, playing a key role in keeping client relationships organized, on track, and well-supported. This is a dynamic, full-time position (40 hours per week) that blends administrative excellence with meaningful involvement in our Financial Consulting Program.

Importantly, this role requires a high degree of independent client interaction. You will be expected to confidently liaise directly with clients and their external advisors to drive action items forward, ensure compliance, and see deliverables through to completion without needing constant oversight.

What You'll DoClient & Administrative Support

- Act as an independent point of contact: Proactively reach out to clients via phone, video, or email to gather essential administrative or compliance information (such as Trusted Contact Person details or missing signatures).
- Drive meeting accountability: Attend client meetings alongside the lead planner to capture and check off action items in real-time, ensuring nothing falls through the cracks.
- Manage post-meeting workflows: Send timely follow-up communications, taking ownership of outstanding action items and gently holding clients accountable to their next steps.
- Oversee scheduling: Manage the lead planner's calendar, coordinate client meetings, and ensure all scheduling runs smoothly.

Financial Consulting Operations (Organization, Leadership & Planning)

- Drive Financial Organization: Help maintain up-to-date client records within our central digital organizational platform, supporting our goal of ensuring no part of a client's financial life is inadvertently neglected.
- Support Financial Leadership: Assist in coordinating communication and deliverables between our firm, the client, and their broader network of professionals (lawyers, accountants, insurance agents, etc.).
- Lead data-gathering: Independently guide clients through data-gathering sessions, managing the collection and organization of their documents in preparation for Advanced Planning meetings.
- Plan preparation: Input client data accurately into financial planning software to support the creation of custom tactics, strategies, and products based on the client's specific needs.





Business Improvement & Automation

- Identify opportunities to streamline internal processes and implement workflow automations.
- Utilize AI tools and emerging technologies to improve operational efficiency across the business.

- Confidence in client communication: Excellent written and verbal communication skills. You will be independently facing clients on phone calls, video meetings, and emails, so a professional and confident demeanor is essential.
- Tactful persistence: The ability to independently manage clients, gently nudging them for missing documents or overdue tasks to keep the planning process moving forward.
- Prioritization: Strong organizational skills and the ability to manage competing priorities with ease.
- Initiative: A proactive, self-starter mindset with a desire to grow and take on increasing responsibility.
- Tech-savviness: Comfort with technology and a willingness to learn new tools quickly. Familiarity with Google Workspace, CRM software, financial planning software, and AI or automation tools would be a strong asset.

Compensation & Benefits

- Salary: $50,000 – $65,000 annually
- Benefits: Comprehensive advantages package included
- Schedule: Full-time, 40 hours per week
- Location: Richmond, BC — Hybrid (with increased in-office time during onboarding and training)
