The Front Desk lead is the person who makes sure that experience is consistent, well-run, and never drops a ball — every shift, every day.
Job Overview We're looking for a highly organized, detail-driven Front Desk lead to own the day-to-day administrative backbone of the club. This role is the operational engine room — staffing, scheduling, systems accuracy, inventory, and member communication — that let's the Manager stay focused on sales, growth, and partnerships. Responsibilities
Front Desk Team Coordination
- Manage the daily group chat and communication channel for all front desk associates — shift coverage questions, day-of updates, and anything the team needs to know before their shift starts.
CourtReserve & Systems Administration
- Enter and maintain all club programming in CourtReserve accurately and on the standardized event-category naming convention — consistent categories are what let corporate's marketing automation actually work, so accuracy here matters more than it looks like it should.
- Keep membership records, waivers, and member account details accurate and up to date.
- Process day-to-day transactions — cancellations, credits, and refunds — strictly according to SOP,
including never posting manual credits directly to a member's account.
Inventory & Pro Shop
- Manage pro shop and rental equipment inventory, including ordering, stock counts, and restock timing.
- Track paddle and equipment rentals, including collecting and returning collateral per the rental SOP.
Member Communication
- Own day-to-day member email correspondence — questions, requests, and follow-ups — responding promptly and professionally.
- Keep member data clean and complete in CourtReserve and HubSpot (accurate contact info, waiver status, tags) so downstream marketing and renewal workflows work as intended.
- Support distribution of the club's weekly programming emails (Monday Kickoff and Weekend Highlights) and the monthly newsletter, working from the templates and standards provided by corporate.
- Build and maintain the front desk staff schedule, ensuring the club is properly covered at all times, including peak hours, weekends, and programming-heavy shifts.
- Onboard and train new front desk hires on club SOPs, systems, and daily procedures, using the standard shadow-shift and training materials provided by corporate.
- Run pre-shift huddles and reinforce consistent execution of front desk SOPs — waiver collection, check-in flow,
the no-show and cancellation policy, and incident reporting.
Qualifications
- 1+ years in an administrative, operations, or customer-service coordination role; scheduling or team-lead experience is a strong asset.
- Comfortable learning and working inside systems daily — CourtReserve, POS software, and basic CRM tools.
- Extremely organized and detail-oriented — this role is the difference between a club that runs smoothly and one that's constantly firefighting.
- Strong written communication skills; comfortable managing a busy group chat and a full member inbox without letting things slip.
- Calm, transparent communicator who can train and coordinate a front desk team without needing to be a formal people-manager by background.
- Smart Serve, First Aid, and CPR certification required (or willingness to obtain prior to start).
- Willingness to work flexible hours including evenings, weekends, and holidays as the club's schedule requires.
