About the Role
We're building our People & Culture team from the ground up, and we're looking for a detail-oriented, tech-savvy People Operations Coordinator to be a member of this exciting journey. This role is perfect for someone who thrives in a fast-paced, evolving environment and wants to make a real impact on employee experience from day one.
As our People Ops Coordinator, you'll be the backbone of our P&C; operations, managing the full employee lifecycle, implementing new systems, and helping us build a culture people love. What You'll Do:
HR Operations & Administration (50%)
- Own and maintain accurate employee records in our HRIS (BambooHR)
- Manage the complete employee lifecycle from offer acceptance through offboarding
- Process employee changes (promotions, transfers, compensation updates, leaves)
- Ensure compliance with employment standards and maintain audit-ready documentation
- Generate HR reports and metrics to support decision-making
- Support payroll processing by providing accurate employee data to accounting
- Navigate multi-jurisdictional HR requirements across Canada and the US
Onboarding & Offboarding (15%)
- Deliver exceptional onboarding experiences that set new hires up for success
- Coordinate pre-boarding activities, first day logistics, and check-ins
- Manage equipment provisioning and IT setup coordination
- Conduct professional offboarding processes including exit interviews and knowledge transfer
- Continuously improve our onboarding/offboarding programs based on employee feedback
Employee Engagement & Culture (15%)
- Partner with employees to establish and support our Social Committee
- Help plan and execute company events, team-building activities, and engagement initiatives
- Support the rollout of engagement surveys and pulse checks
- Contribute creative ideas to enhance our workplace culture
Office Management & Cross-Functional Support (10%)
- Oversee office operations and ensure a welcoming, functional workplace
- Support accounting team with administrative tasks and system management
- Assist with vendor management and office-related procurement
- Be the go-to person for employee questions and workplace needs
Systems & Process Improvement (10%)
- Support the implementation and optimization of new HR systems and tools
- Identify opportunities to automate and streamline HR processes
- Create and maintain HR documentation, templates, and standard operating procedures
- Stay current on HR technology trends and best practices
What We're Looking For:
Must-Haves:
- 1-2 years of experience in a People Ops, or HR coordinator role
- Robust technical proficiency with Microsoft Suite, and Google Workspace
- HRIS experience (BambooHR preferred, but experience with any HRIS is valuable)
- Exceptional organizational skills and attention to detail
- Process-oriented mindset with a knack for creating order from chaos
- Excellent communication skills, you can explain complex processes in simple terms
- Proactive problem-solver who takes initiative and ownership
- Discretion and confidentiality, you handle sensitive information with care
Nice-to-Haves:
- Experience implementing or migrating HR systems
- Background in a startup or scale-up environment
- Experience managing US-based employees and familiarity with US employment laws (multi-state compliance experience highly valued)
- Event planning or employee engagement program experience
- Experience supporting finance/accounting teams
