Fresh4Sunset, Mastronardi’s Greenhouse partner located in Delta, BC is currently seeking an

HR/Office

Administrator

to join our team. The

Human Resources/Office Administrator

(“the position”) is responsible to support management with the efficient use of human, physical and financial resources in the entire Fresh4U Group of companies. This position is a core contributor to the management of human resources and will be engaged all year in managing to those plans to ensure success.

Primary Responsibilities:

Human Resources and Payroll:

Key role in discussions and planning for corporate group manpower needs (both local and temporary foreign workers)

Responsible for preparing job descriptions, job offers, advertisements and organising interviews

Managing a schedule of follow up meetings with new workers, monitoring the annual review schedule and vacation schedule

Attend Staff meetings, taking minutes then follow up on recommendations, suggestions, or direction from management

Preparation of intake package for new employees, assisting with completing package and providing orientation

Set up all new workers (local and temporary) into the Payworks system





Ensures complete and organised employee files for all workers

Support with setting up new workers in timeclocks and providing training on how to use the system and ensuring everyone is able to use the time clocks.

Support to the Grower and Operations Manager in verifying the daily time entries in pay system

Reporting payroll changes, absences, vacations to Controller to ensure accurate payroll

Temporary Foreign Workers (TFW) Programme:

Initiating, maintaining, and monitoring required LMIAs and employee recruitment through agencies in various countries and various streams of entry

Overseeing and organisation of Intake and departures of current TFW for all locations, including preparation of documents, contracts, forms and also arranging travel to and from Canada and all appointments required for intakes

Accompanying TFW to appointments when needed or arranging alternate solutions so that workers can access services outside of work

Being on‑call for emergencies and connecting workers with appropriate assistance

Ensure that regular housing inspections are carried out and documented

Participation in integrity audits of the TFW programmes, providing required records and responses

Occupation Health & Safety:

Organise and attend required safety meetings, recording minutes, saving the minutes and distributing them to management

Providing training for Health & Safety committee members

Timely reporting of injuries and filing of Form 7

Participate in Workplace Inspections, respond to orders and assist with documentation

Constant development, improvement and execution of a Health and Safety programme, ensuring all locations are compliant

Maintaining training and certifications schedules for programmes such as forklifts, pesticides, first aid, AgSafeBC and other required training to ensure compliance

Occasional review and updating of training programmes as legislation changes arise

Office Management:

Monitoring inventory for office supplies, first aid supplies,



PPE and cleaning supplies.

Assistance to management with clerical tasks such as work processing, scheduling, report preparation, and other needs as they arise

Organising, scanning and filing of receipts and other documents as required

Research for new equipment or supplies as needed

Organisation of meetings, including ordering food or supplies

Maintaining a cleaning schedule for kitchens

Any other duties as may be assigned by management as the company requires, with consultation with employee.

Required: Post‑secondary in any of the following: Business, Accounting, Human Resources and/or Operations Management or similar courses

Required: minimum three (3) years of experience in any of the mentioned areas of work (combination of roles)

Preferred: five (5) or more years of same experience

Other Skills, knowledge and/or abilities:

Demonstrated ability to perform detailed tasks, maintain accurate records and manage deadlines and due dates

Ability to self‑monitor and complete tasks according to their deadlines

Ability to work effectively and respectfully among various language groups and cultures

Ability to guide, direct, document and coordinate required records for groups of foreign workers, including the varied requirements per stream

Skill and knowledge to comfortably and efficiently use a computer, email, spreadsheet software, and payroll software

Ability to work collaboratively with management to complete documentation for various programmes and obtain corporate goals

Ability to respond confidently and competently to common inquiries from government agencies and individual workers regarding foreign worker programmes

Ability to effectively communicate professionally, in English, both verbally and in writing.

Work conditions:

This position will require travel between all farm locations (Aldergrove, Abbotsford, Surrey and Delta) but will mainly be based in Delta

High standards of conduct and professionalism are required for this position

There will occasional requirement to accompany workers to appointments

This position will be working primarily indoors in a climate‑controlled, smoke‑free office and/or warehouse and growing setting. The noise level in the work environment is usually moderate.
