Act as a professional and welcoming first point of contact for clients, in person and by phone. Schedule, confirm, and coordinate client meetings for the Financial Planner, and prepare meeting rooms, materials, and documentation in advance. Send meeting confirmations, reminders, and follow-up communications. Maintain the Financial Planner's calendar and coordinate appointments. Prepare client files, forms, and paperwork for meetings, signatures, and processing. Track outstanding tasks and follow-ups and help manage the advisor's workflow by flagging outstanding items. Initiate, monitor, and follow up on investment account transfers and other client transactions with financial institutions and investment companies. Verify that forms and documentation are complete, accurate, and properly authorized before submission. Maintain appropriate records of client communications,
instructions, and completed activities, and protect confidential client and financial information. Provide general administrative support to the Financial Planner and office as required. What You Will Need
Previous experience in financial services, banking, wealth management, insurance, investment administration, or a professional office environment is preferred. Previous administrative or client-service experience. Strong Microsoft Office skills; comfortable working with CRM/database systems and electronic document management systems. Financial services licensing or industry experience is an asset but not required. Exceptional attention to detail, accuracy, and organizational skills, with the ability to manage multiple priorities and follow through to completion. Professional, confident telephone and written communication skills. A satisfactory Criminal Record Check will be required as a condition of employment Why Should You Work For Our Client?
