We are committed to delivering exceptional service while maintaining the highest standards across our vessels and terminal operations.Position SummaryThe Workforce Coordinator provides critical administrative and coordination support to ensure efficient and compliant crewing operations. This role supports workforce planning, certification tracking, scheduling coordination, and payroll reconciliation.Working closely with the Terminal Manager and People & Culture, you will play a key role in maintaining accurate records, supporting operational readiness, and ensuring compliance with safety and regulatory requirements.Key ResponsibilitiesCrew Administration & SchedulingMaintain records of crew certifications, training, and qualificationsTrack certification expiry dates and notify management of upcoming requirementsPrepare draft crew schedules for review based on operational needs and collective agreementsDistribute approved schedules and communicate updatesMaintain attendance records and prepare reportsCompliance & ReportingMaintain accurate records to support compliance with safety and operational standardsCompile and analyze data related to staffing and attendance trendsPrepare confidential reports to support management decision-makingEnsure all documentation aligns with company policies and collective agreementsPayroll & Financial CoordinationValidate payroll entries against approved schedules and assignmentsIdentify discrepancies and support resolution with managementReview payroll exception reports and prepare supporting documentationMaintain audit-ready reconciliation recordsOperational SupportCoordinate logistics for training, onboarding, and familiarizationMaintain administrative records such as seniority lists and workforce dataSupport certification tracking for Officers and CrewAssist with operational reporting and documentationHealth, Safety & TrainingMaintain training and safety compliance recordsParticipate in required training and emergency drillsIdentify and elevate administrative gaps that may pose operational risksQualificationsEducationPost-secondary education in Business, Operations Management, or a related field preferredExperience2+ years in administrative, coordination, or operational support rolesExperience in a unionized environment is an assetTechnical SkillsProficiency in Microsoft Office (Excel, Word, Outlook)Experience with payroll or scheduling systems (e.G., Payworks) is an assetStrong data tracking, reconciliation, and reporting skillsCore CompetenciesHigh attention to detail and strong organizational skillsAbility to manage confidential information with discretionStrong communication skills (written and verbal)Ability to identify issues and elevate appropriatelySelf‑motivated with the ability to work independentlyCommitment to a robust safety cultureWork Environment & ScheduleWork may take place in terminal, vessel, or office settingsRequires flexibility to work variable hours, including mornings, evenings, and weekendsMay involve periods of standing, walking, and light physical activityAdditional RequirementsCompletion of company‑provided training (WHMIS, Accessibility, Workplace Harassment & Violence Prevention)#J-18808-Ljbffr
