The Opportunity: Litigation Legal Assistant (Level 05PSC) The Ministry of Justice and Attorney General, Civil Law Division, requires a highly organized and responsible individual to provide confidential legal administrative services to lawyers within the civil litigation area. As the Litigation Legal Assistant you will:

Prepare or assist with the preparation, photocopying, service and filing of court documents such as Briefs of Law, Affidavits, Orders, Factums, Affidavits of Documents, Affidavits of Service, Statements of Defence, and Statements of Claim while consistently meeting court-imposed deadlines and procedural requirements;

E-filing documents with the Court of Appeal in accordance with the Rules of Court as well as photocopying of required paper copies;

Preparation and formatting of legal correspondence and documents, memos and opinions while meeting extremely short turnaround times;

Scanning and editing documents using the features of Adobe Acrobat;

Upload, maintain and manage documents and records within Sharepoint sites and other electronic document management systems;

Will be responsible for providing administrative and reception support, including handling incoming calls through the main reception line, redirecting calls appropriately, responding to general inquiries, maintaining filing systems, managing scheduling and diarization requirements, distributing incoming mail and courier deliveries and ensuring office equipment remains operational by replenishing paper supplies and replacing toner cartridges. Additional duties may be assigned to support the efficient operation of the office. The role also requires providing backup administrative support to lawyers and other support staff as assigned.

As the successful candidate you will have:

Demonstrated knowledge of legal terminology, court processes and procedures,



including an understanding of the various levels of court, and the preparation, filing, service and management of court documents;

Proven ability to remain highly organized, task-focused, productive and composed in a fast-paced environment while meeting strict court-imposed deadlines;

Demonstrated attention to detail, thoroughness and sound judgment in producing accurate, high-quality work while maintaining confidentiality;

Proven ability to work independently, proactively identify needs, take initiative and manage priorities effectively with minimal supervision;

Strong analytical, problem solving and decision-making skills;

Demonstrated ability to interpret, reference and apply policies, procedures, acts, regulations and legislation accurately and consistently;

Proficiency with computer hardware and software, including Microsoft Word, Outlook, Excel, Sharepoint and Adobe Acrobat;

Familiarity with office and administrative procedures, protocols and various types of office equipment such as photocopier, fax, printers and computers;

Knowledge of Local Discovery case management software, Westlaw and CanLII is an asset.

This position typically requires completion of a legal assistant program and/or considerable experience in a legal office, along with a solid understanding of legal terminology, legal documentation and court procedures.

You have/will have the ability to:

Prepare,



format and revised legal documents and correspondence from both verbal instructions and written notes with a high level of accuracy, efficiency and consistency using a variety of software programs;

Effectively manage and prioritize multiple responsibilities in a fast-paced environment, adapting to shifting priorities, strict court-mandated deadlines and frequent interruptions;

Demonstrate robust communication skills by actively listening, accurately interpreting information and conveying messages clearly and professionally, both orally and in writing;

Scan, organize and manage electronic documents using Adobe Acrobat, including advanced functions such as combining, redacting content, creating bookmarks, inserting hyperlinking, etc.;

Work collaboratively within a team environment as well as independently, following instructions with minimal supervision while showing initiative and responsiveness to meet the needs of the office;

Maintain a professional, approachable, courteous, and cooperative demeanor when interacting with colleagues, clients, couriers and members of the public, both in person and over the telephone, while effectively responding to inquiries and requests.
