For the needs of one of our prestigious clients, a major banking actor in Montreal currently experiencing strong growth, we are actively seeking an experienced KYC - Data Administrator to join their operations team.
Key Responsibilities
- Finalize the setup of recent counterparties in the in-house KYC system and ensure accurate data integration into the local counterparty database application.
- Set up and maintain counterparty records across trading systems (Back-Office and Front-Office applications) as required.
- Review daily reconciliations to detect, investigate, and resolve inconsistencies in client data/status between local application systems.
- On-board newly created clients to electronic platforms for confirmation and statements; manage client user access and address change requests through research and collaboration with the KYC team.
- Close client files and inactive accounts in downstream systems following thorough activity reviews.
- Prepare, reconcile, and monitor the expiration of Patriot Act certificates; liaise with the Front Office and Compliance teams to track progress and secure renewed documentation.
- Collect, capture, and validate Tax Certifications (W-8 and W-9 forms) in internal systems, liaising directly with the Tax Department and advising Sales/Relationship teams on invalid documentation.
- Process Prime Brokerage documentation, including Forms 150, 151, and Form 1 to Schedule A (F1SA).
- Set up, maintain,
and validate USD Fed Wire transfer templates on the banking payment system to allocate Fed Fund wire transfers for internal business lines.
- Ensure proper procurement, archiving, and maintenance of legal and operational documentation within bank systems for auditing and verification purposes.
Requirements
Candidate Profile & Qualifications
- Work Authorization: Must be legally eligible and authorized to work in Canada (Canadian Citizen, Permanent Resident, or valid Open Work Permit holder).
- Education: University degree in Finance, Business Administration, Economics, or a related field.
- Experience: Minimum of 2 years of relevant experience within a financial institution, ideally in Back-Office operations, Security Settlement, or Reference Data Management.
- Language Skills: Mandatory fluency in English (written and verbal); French is an asset.
- Technical Skills: Strong proficiency in the MS Office suite, with advanced working knowledge of MS Excel.
- Industry Knowledge: Solid understanding of KYC processes, US Tax certifications (W-8/W-9), and Patriot Act regulations. Knowledge of the Bankers Almanac platform is a strong plus.
- Soft Skills: High attention to detail, strong organizational and prioritization skills, self-motivated team player mindset, and the ability to perform effectively in a fast-paced environment.
Work Environment & Conditions
- Work From Home (WFH) Policy: Hybrid work arrangement available on a voluntary basis (up to 2 days per week from home after an initial 2-month onboarding period, subject to manager's discretion).
- Calendar: The candidate will follow the US holiday calendar.
