Qualifications
MINIMUM FORMAL EDUCATION/TRAINING:
- Completion of an undergraduate degree in a related discipline, plus a minimum of two years of directly-related administrative experience in a university environment required.
EXPERIENCE:
- Detailed knowledge of the university and government student aid required.
- Recent training and experience is preferred.
- Experience in research, regulation interpretation, and policy development preferred.
- Experience in writing documentation and/or technical writing preferred.
- Supervisory and/or administrative experience required, preferably dealing with students, faculty, and administrative staff.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- Proficiency in using advanced features of Microsoft Office (Word, Excel, Access) required.
- Knowledge of Banner Student Information System; Banner Student Aid preferred.
- Experience in using other computer programs such as InDesign, RedDot, and/or Publisher strongly preferred.
- Ability to make sound independent judgements and utilize problem-solving skills is required.
- Ability to establish and maintain effective working relationships with various levels of internal and external contacts is required.
- Ability to process large numbers of documents with speed, accuracy, and attention to detail in order to meet strict deadlines is required.
- Ability to effectively and professionally supervise the work of other employees is required.

Key responsibilities
Supervisory Duties
- Provides daily supervision of the Awards Officers (3 Full Time) and Casual Students (2-3).
- Oversees administrative personnel on all issues including student/customer relations, service standards, and best practices.
- Provides direction, motivation, coordination of daily work duties and delegates to staff.
- Ensures appropriate staffing levels are in place for key periods and deadlines. Oversees and supervises the organization and preparation of staff for peak and transitional periods.
- Allocates administrative tasks and acts as a resource and final authority on all completed tasks.
- Monitors staff performance in accordance with Collective Agreements and applicable employment standards legislation.
- Conducts annual performance evaluations and action plan development of staff.
- Together with the Director of Awards, works to resolve any employee conflicts and deal with any staff discipline situations.
- Together with the Director of Awards, manages absenteeism within the area.
- Approves vacation and authorizes flex/bank time requests.
- Keeps an electronic calendar of all staff requests for time off. This allows the Director to see at a glance when office staff will be absent.
- Manages all elements of student and casual staffing needs, including posting, interviewing, hiring, set up of work places, and training.
- Ensures effective communication with team and amongst the larger Awards Office to provide consistent and quality service.
- Provides daily trouble-shooting and problem-solving services for Awards Staff.
Administrative Duties
- Provides administrative assistance to the Director.
- Assists the Director with research, special projects, and surveys - web searches, analyzing and compiling data, creating spreadsheets etc.
- Responsible for identifying business process efficiencies, and in consultation with the Director, assists with their implementation.
- Liaise with units including Registrar's Office, Financial Services, IST, Faculty of Graduate Studies & Post Doctoral Studies, Residence Office, to ensure that information is relayed and up to date.
- Will be expected to keep the units in ORES apprised on Awards information and processes that are relevant to the areas by scheduling meetings, consulting, email updates, and creating resource documentation as required.
- Will consider and review award appeals and approve/deny.
- Responsible for ensuring that the processes between Financial Services and the Awards Office are monitored.
This will include reconciliation between the two systems and identification and correction of discrepancies between the two.
- Is the key contact and oversight of the Interaction Desktop telephone system & Waitwell for FAA. This will involve ensuring the system is monitored and scheduling back up support as required. Will be required to prepare resource documentation and training of the front line. In addition, will be responsible for monthly statistical reporting and data analysis on the interactions.
- The Lead must be aware of the program offerings for government student aid across Canada and must be able to tactfully convey the restrictions and limitations of these programs to prospective and current students.
- Deals with difficult or challenging cases in-person, over the phone, and through email correspondence. Must be able to tactfully navigate difficult situations.
- Recommend and develop revisions to procedures / work processes and create solutions for optimal student service.
- Ensures that all university and unit policies and procedures are adhered to within the operations of their units.
Government Aid Programs and Awards Programs
- Review and render decisions on appeals from students when ineligible for awards.
- Manages the UM Emergency loan and UM Emergency Bursary program.
- Serves as the primary point of contact for all loan agencies, keeping apprised of policy and procedural changes across Canada.
- Serves as the primary point of contact for all partners on campus, pertaining to student aid and general award inquiries, when escalation is required.
- Manages the UM Audit process for the US Aid program. Ensures front line team are trained and up to date on program changes/requirements. In the absence of front-line members, assists students in applying for aid. Reviews up to 75 files annually and approves/rejects for aid funding. Ensure all title 4 refunds are sent back to the US Dept of Education within the mandated time frame. Works with the Provincial Auditors Officer to prepare for the annual audit process; executes the audit process internally.
- Is the primary UM contact for all loan agencies across Canada.
- Is the primary contact for Manitoba Student Aid; overseeing the biweekly Confirmation of Enrolment Process.
Other Duties as Assigned
- Participation in weekly and monthly in-house team meetings.
- Development of monthly activity reports.
- Represent the office in campus activities/groups or to volunteer for events run by Student Recruitment, Convocation etc.
