Reports To: Family Law Lawyer / Managing Lawyer

About the Role The Legal Administrative Assistant provides compassionate, organized, and detail‑oriented support to our family law practice. The ideal candidate is someone who thrives in a fast-paced setting, handles sensitive matters with empathy, and understands the unique nature of family law files, including separation, divorce, parenting arrangements, child and spousal support, and protection matters.

Key Responsibilities

Family Law Document Preparation & File Management

- Draft, prepare, and format family law documents such as:

o Notices of Family Claim / Responses o Financial Statements (Form F8)

o Affidavits and sworn statements o Separation agreements, parenting plans, consent orders o Trial briefs and hearing binders

- File documents with BC Provincial Court, BC Supreme Court.
- Manage limitations, deadlines, court dates, and lawyer calendars.
- Maintain both electronic and physical family law files, ensuring accuracy, confidentiality, and organization.

Client Communication & Support

- Communicate professionally and empathetically with clients experiencing emotional or high‑stress situations.
- Schedule client meetings, mediations, case conferences, and court appearances.
- Coordinate service of documents and liaise with process servers, mediators, and other professionals (e.g., counsellors, parenting coordinators, psychologists).

Case & Practice Support

- Assist with preparation for trials, conferences, discoveries,



and mediations.
- Arrange and organize disclosure materials following family law rules and court requirements.
- Conduct basic research and registry searches as needed (e.g., court registries, corporate records, property searches).
- Assist with lawyer billing, time entry, and monthly invoicing.

Qualifications & Skills

Education & Experience

- Legal Administrative Assistant diploma or equivalent training.
- 1–3+ years of experience in a Canadian family law firm preferred.
- Familiarity with Provincial and Supreme Court family law rules and court procedures.

Technical Skills

- Proficiency in Microsoft Office (Word, Outlook, Excel).
- Experience with family law software and tools such as:

o DivorceMate o Clio, Leap, or similar practice management systems o Court e‑filing systems
- Strong formatting, proofreading, and document‑management skills.

Soft Skills

- High level of professionalism, empathy, and discretion.
- Strong interpersonal skills and the ability to support clients in emotionally charged situations.
- Excellent attention to detail and organizational ability.
- Ability to prioritize and manage multiple deadlines with minimal supervision.
- Effective communicator with strong written and verbal skills.

Working Conditions

- Standard office hours with occasional overtime to meet court deadlines.
- Hybrid or in‑office arrangement depending on firm policy.
- Frequent interaction with clients dealing with sensitive or urgent family matters.
