Job Summary
GeneBio Systems, Inc. is seeking a detail-oriented and proactive Operations Associate to support our operations, logistics, inventory, customer service, and product-related activities. This is a hands-on role involving customer service, receiving, shipping, inventory management, purchasing coordination, invoicing support, and selected research, development, or manufacturing-related activities as needed.
The ideal candidate will have a BSc or higher degree in Biology or a closely related life science discipline, strong organizational, analytical, and customer service skills, and an interest in working in a biotechnology and life science workplace. The position provides an opportunity to contribute to process improvements, optimize operational workflows, and take on increasing responsibility as the company grows.
This is an on-site position in Burlington, Ontario, Canada, with preference given to candidates located in or near Burlington.
Key Responsibilities
- Support daily warehouse operations, including receiving, picking, packing, and shipping of laboratory products.
- Provide professional and responsive customer service by assisting customers with order status, product availability, shipping, delivery, and general product-related inquiries.
- Respond to customer inquiries by email and telephone and ensure questions and issues are followed up on in a timely manner.
- Coordinate with sales, operations, purchasing, and suppliers to resolve customer questions and order-related issues.
- Prepare quotations, order information, shipping information, and other customer-related documentation as required.
- Prepare outbound shipments, coordinate with couriers and freight providers, and track deliveries.
- Maintain accurate inventory records, including stock levels, lot numbers, and expiry dates.
- Assist with inventory replenishment, purchasing coordination, and cycle counts.
- Support invoicing and order processing, ensuring alignment between shipments, invoices, and customer orders.
- Follow established standard operating procedures (SOPs) related to warehouse safety, organization, and quality.
- Handle and store temperature-sensitive and regulated laboratory products in accordance with applicable guidelines.
- Identify operational issues and suggest process improvements to enhance efficiency and accuracy.
- Work closely with customer service, sales, and operations teams to resolve order or shipping-related questions.
- Support product-related activities and perform limited research, development, quality, or manufacturing-related tasks as required.
- May have people management and supervisory responsibilities, including coordinating and supporting other operations team members, as the company grows.
- Demonstrate initiative and leadership in daily activities and contribute to the continuous improvement of company operations.
- Perform other operational duties as required to support business needs.
- Lift boxes weighing up to 10 kg.
Qualifications
- BSc or higher degree in Biology, Biochemistry, Molecular Biology, or a closely related life science discipline.
- At least 1 year of relevant experience in operations, laboratory, manufacturing, logistics, supply chain, customer service, or a related environment is preferred.
- Experience with warehouse operations, shipping, logistics, or inventory management is strongly preferred.
- Previous customer service experience, particularly in a technical, scientific, laboratory, or business-to-business environment, is an asset.
- Familiarity with laboratory products, reagents, or life science supplies is an asset.
- Strong attention to detail, accuracy, and organizational skills.
- Strong customer service skills, including professionalism, responsiveness, patience, and the ability to understand and resolve customer needs.
- Excellent written and verbal communication skills, with the ability to communicate effectively with customers, suppliers, and internal teams.
- Ability to handle customer inquiries and problems professionally and find practical solutions or escalate issues appropriately.
- Demonstrated strong work ethic and reliability in day-to-day responsibilities.
- Ability to interact effectively with team members and contribute positively to a collaborative work environment.
- Demonstrated initiative and leadership in daily activities, with the ability to take increasing responsibility as the company grows.
- Comfortable working cross-functionally with operations, finance, customer service, sales, and other teams.
- Ability to work independently while also contributing effectively to a team environment.
