Medical Secretary – Walk-In Clinic
Our growing walk-in clinic is looking for an experienced, friendly, and professional Medical Secretary to join our team. The successful candidate will play an important role in creating a welcoming, patient-focused environment while supporting the physicians and clinic staff with day-to-day operations.
We are looking for someone who has excellent customer service and communication skills, is organized and dependable, and can work effectively in a fast-paced medical environment.
Key Responsibilities
- Greet and assist patients and visitors in a friendly, respectful, and professional manner, both in person and over the phone.
- Register patients and assist them with completing all necessary forms and documentation.
- Verify patient information and OHIP eligibility.
- Process patient billing and collect payments when required.
- Coordinate patient flow by bringing patients to examination rooms and communicating effectively with physicians and other clinic staff.
- Maintain, update, and organize patient medical records.
- Scan and upload documents into patient charts and ensure records are complete and accurate.
- Manage physician messages, assigned tasks, and other administrative requests.
- Assist physicians and clinic staff with administrative duties as required.
- Maintain cleanliness and organization of the reception area, lounge, kitchen, examination rooms, and other clinic areas throughout the day.
- Stock examination rooms and reception areas and ensure necessary supplies are available.
- Monitor and order office and medical supplies as needed.
- Work collaboratively with physicians and team members to maintain an efficient and welcoming clinic environment.
- Perform other duties as assigned by physicians or clinic management.
Qualifications & Requirements
- Previous experience working in a medical clinic, walk-in clinic, family practice, or similar healthcare setting is preferred.
- Experience with EMR systems is strongly preferred. Experience with Accuro EMR is an asset; training will be provided.
- Excellent customer service, communication, and interpersonal skills.
- Professional, courteous, and compassionate approach when dealing with patients.
- Strong organizational skills with the ability to multitask and prioritize responsibilities.
- Ability to communicate effectively with patients, physicians, and coworkers.
- Strong attention to detail and ability to maintain accurate patient records.
- Ability to work independently as well as part of a team.
- Minimum Grade 12 or equivalent, as recognized by the Province of Ontario Ministry of Education.
- Ability to maintain confidentiality and handle sensitive patient information professionally.
- Ability to stand for extended periods and perform light lifting when required.
