Membership and Administrative Coordinator, Teaching Innovation and Strategic Initiatives

Summary:

The membership and administrative coordinator provides support for secretariat services delivered under contract with the Canadian Association for University Continuing Education (CAUCE). This role supports association operations through membership administration, coordination of meetings and committee activities, and support for communications initiatives.

This position maintains accurate records, databases, and digital platforms related to membership and association activities. The coordinator supports awards, events, and governance processes, including conferences and virtual meetings and regularly interacts with members, volunteers, partners, and stakeholders across Canada in support of association programs and operations.

Duties and Responsibilities:

- Supports membership administration by processing applications and renewals, maintaining the membership database, supporting recruitment initiatives, compiling statistics, and troubleshooting the membership management system in collaboration with vendors.
- Maintains a database of partners and external stakeholders and supports the board liaison for business partnerships in engagement activities.
- Provides financial administrative support, such as receiving and filing invoices, facilitates approval workflows, and assisting with additional financial documentation and processes.
- Provides comprehensive meeting support, such as scheduling, agenda preparation, report collection, virtual set-up, minute taking, and distribution of calendar invitations and materials.
- Develops a comprehensive communications schedule in collaboration with communications professionals.
- Drafts and distributes e-blasts, announcements, and member communications following approval.
- Maintains and updates website content related to membership and association activities.
- Supports committee operations by coordinating calls for volunteers, monitoring committee workspaces, liaising with chairs, supporting committee projects, collecting meeting minutes, maintaining committee terms of reference, and escalating items for managerial attention.




- Maintains internal management task calendars and supports updates to procedures and materials.
- Provides support for the honour awards and nominations program, conferences, and virtual general meetings.
- Responds to member and stakeholder inquiries.
- Maintains organized electronic and paper records, files, and correspondence in alignment with institutional information technology and security requirements for systems, data, and records.
- Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment.
- Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion.
- Demonstrates respect and dignity for all members of the community, actively contributes to an workplace of acceptance and inclusion of others and responds to different perspectives from a place of curiosity, respect, and non-judgement.
- Undertakes related duties, as assigned, consistent with the nature of the nature of the position.

Qualifications:

- A diploma in office administration or related field.
- Minimum of two years of relevant administrative experience.
- Experience maintaining website content using content management systems and supporting professional social media platforms.
- Experience with non-profit associations and membership administration is an asset.
- Solid organizational and time-management skills.
- Ability to balance multiple projects with competing deadlines.
- High attention to detail and accuracy.
- Strong communication skills.
- Ability to work effectively both independently and collaboratively in a team.
- Effective problem-solving and prioritization skills.




- Proficient computer skills, including Microsoft Office applications, PDF software, association management systems, and conference event tools and applications.

Salary: The salary range, based on 1.0 FTE, is $24.74 - 31.37 per hour. The starting salary will be commensurate with education and experience.
