We are looking for an experienced, highly organized, and professional Office Administrator to join our team. The ideal candidate is someone who can independently manage a wide range of administrative and accounting-related tasks, provide excellent customer service, and confidently handle government documentation and business correspondence.
We are looking for someone who is reliable, detail-oriented, professional, organized, and very strong with customers and communication.
Key ResponsibilitiesOffice Administration
- Manage daily office operations and administrative tasks
- Answer phone calls, respond to emails, and communicate with customers, vendors, and contractors
- Prepare correspondence, documents, reports, forms, and spreadsheets
- Maintain organized electronic and physical filing systems
- Schedule appointments, meetings, and other office activities
- Order and maintain office supplies
- Assist management with general administrative duties
- Maintain confidentiality of company and customer information
Customer Service
- Provide professional and friendly customer service by phone, email, and in person
- Respond to customer inquiries and follow up on requests
- Communicate effectively with customers, suppliers, contractors, and government agencies
- Resolve routine customer issues professionally and efficiently
- Maintain positive relationships with customers and business partners
Accounts Payable & Accounts Receivable
- Process and enter vendor invoices
- Review invoices, purchase orders, and supporting documentation
- Follow up on invoice discrepancies and approvals
- Prepare and send customer invoices
- Monitor accounts receivable and follow up on outstanding balances
- Assist with payment processing and vendor/customer account reconciliation
- Maintain accurate accounting records
- Work with management and accounting staff to resolve billing issues
Bookkeeping & Accounting Support
- Perform day-to-day bookkeeping and data entry
- Record and organize financial transactions
- Reconcile accounts and assist with month-end procedures
- Maintain accurate financial records and supporting documentation
- Assist the accountant or management with financial reports and other accounting tasks
Government Documents & Compliance
- Prepare, organize, submit, and track government forms and documents
- Communicate with government agencies when required
- Maintain records of permits, licenses, registrations, filings, and other regulatory documents
- Monitor deadlines and ensure required documents are submitted on time
- Assist management with government and regulatory requirements
- Maintain accurate and up-to-date compliance files
Qualifications & Experience
- 3+ years of office administration experience, preferably in a small or medium-sized business
- Strong experience with Accounts Payable and Accounts Receivable
- Bookkeeping experience
- Experience preparing and managing government documents and submissions
- Excellent customer service and communication skills
- Strong written and verbal English
- Excellent organizational and time-management skills
- Very strong attention to detail
- Ability to manage multiple priorities and meet deadlines
- Proficiency with Microsoft Office, particularly Outlook, Excel, and Word
- Experience with accounting/bookkeeping software such as Sage is an asset
- Ability to work independently with minimal supervision
- Professional, dependable, and positive attitude

Pay: $20.00-$25.00 per hour
