About Lemarg Restoration
Lemarg Restoration is a growing property restoration company based in Vaughan, Ontario, providing emergency disaster restoration and reconstruction services to residential and commercial properties.
We operate in a fast-paced environment where attention to detail, communication, organization, and immediate action are critical.
We are looking for an experienced, highly organized, fast, and dependable Office Administrator who can manage multiple responsibilities at the same time while maintaining accuracy, professionalism, and control.
This is not a slow-paced administrative position. The successful candidate must be comfortable handling multiple calls, emails, chats, office requests, field coordination, customer communication, and urgent priorities throughout the day.
Key Responsibilities
- Answer incoming calls promptly and professionally and transfer calls to the appropriate team member and or assist based on your knowlage.
- Monitor and respond to multiple emails, chats, and internal communications.
- Coordinate communication between the office, field staff, project managers, customers, trades, suppliers, and other parties.
- Manage calendars, appointments, meetings, schedules, and reminders.
- Prepare, edit, organize, and distribute documents, emails, reports, and correspondence.
- Maintain accurate electronic files, records, databases, and company systems.
- Track outstanding tasks, follow-ups, deadlines, and required responses.
- Assist with customer service, service follow-ups, feedback requests, and general inquiries.
- Assist with field staffing, scheduling, documentation, and daily operational requirements.
- Support project managers and office staff with administrative requirements.
- Assist with purchase documentation, work orders, invoices, reports, and internal paperwork.
- Coordinate meetings and record important action items when required.
- Help improve office procedures, workflows, systems, and overall efficiency.
- Handle confidential company and customer information with discretion.
- Assist with special projects and other administrative duties as required.

Property restoration can occasionally involve extremely busy periods, particularly during major weather events, emergencies, or high-volume claim periods. The successful candidate must be comfortable working under pressure during these periods and be flexible when the workload requires additional attention.
Occasionally, staying beyond regular working hours may be required to complete urgent or time-sensitive responsibilities.
