Salary: $60,000–$70,000 per year, based on experience

Schedule: Monday to Friday

Work Arrangement: Primarily in-office during training, with some hybrid flexibility once established

About the Role

Thompson Miller Specialty Rigging Corp. is looking for an Operations Administrator – Accounting & Bookkeeping to join our team in Brampton.

This is a hands-on role responsible for much of the day-to-day accounting and administrative work that keeps our business running. You'll work directly with our General Manager and President and will be involved in accounts receivable, accounts payable, invoicing, collections, QuickBooks, payroll administration, project documentation, employee records and general office operations.

We're a small company, so this isn't a role where you'll only work on one piece of the business. We're looking for someone who likes variety, stays organized, follows things through and is comfortable taking ownership of their responsibilities.

The successful candidate will be trained on our existing processes before progressively taking over the role.

What You'll Be Doing

Accounts Receivable, Invoicing & Collections

- Prepare and issue customer invoices and progress billings.
- Monitor outstanding accounts receivable and follow up with customers regarding overdue invoices.
- Apply and record customer payments accurately in QuickBooks.
- Maintain accurate customer account records.
- Investigate and help resolve billing or payment discrepancies.
- Provide customers with supporting billing and account documentation when required.

Accounts Payable
- Receive, review and enter supplier and subcontractor invoices into QuickBooks.
- Verify invoices against purchase orders, job information and supporting documentation.
- Code expenses and invoices to the appropriate jobs and accounts.
- Prepare vendor payments through the company's online banking system for management approval.
- Keep track of payment deadlines and outstanding vendor balances.
- Communicate with suppliers regarding invoices, statements, credits and payment questions.

Bookkeeping & QuickBooks
- Maintain accurate and up-to-date records in QuickBooks Online.
- Ensure transactions are properly entered, categorized and supported by documentation.
- Help maintain clean and current bookkeeping records throughout the month.
- Assist with reconciliations and preparation of information required by management and our external accountant.
- Identify discrepancies or missing information and follow up as needed.

Payroll & Employee Administration
- Review employee time entries through QuickBooks Time.
- Follow up on missing or incorrect timesheets.
- Prepare payroll information for management review and assist with payroll processing.
- Set up new employees in applicable systems.




- Maintain accurate employee files and onboarding documentation.
- Keep employee records, certifications and other required documentation organized and current.

Project Administration
- Create project files and electronic job folders for newly awarded work.
- Review incoming purchase orders, contracts and project information.
- Enter and maintain job information within company systems.
- Keep project documentation organized and up to date.
- Prepare purchase orders as required.
- Assist management with formatting, preparing and sending customer or project documentation when needed.

Compliance & Documentation
- Collect and maintain subcontractor Certificates of Insurance and WSIB clearances.
- Track expiry dates and follow up for updated documentation.
- Provide customers with insurance, WSIB and other company documentation when requested.
- Maintain organized records relating to company insurance, licences, renewals and other administrative requirements.

General Office Administration You'll also help with the day-to-day things that come with running a small office, including:
- Customer and vendor setup forms.
- Credit applications.
- Insurance requests.
- Mail and couriers.
- Office supplies.
- Filing and document organization.
- Banking deposits.
- Company vehicle paperwork.
- Incoming calls and general customer or supplier inquiries.
- Other administrative tasks that come up from time to time.

What We're Looking For We're looking for someone who is organized, reliable, attentive and comfortable working with numbers.

You don't need to know everything on day one, but you should be comfortable learning new processes and eventually managing your responsibilities without needing constant supervision.

Ideally, you'll have experience with:

- Bookkeeping or accounting administration.
- Accounts payable and accounts receivable.
- Customer invoicing and collections.
- QuickBooks Online or similar accounting software.
- Payroll administration or employee timekeeping.
- Microsoft Outlook, Excel, Word and Microsoft 365.
- Maintaining organized financial, employee or project records.
- Working independently and managing multiple deadlines.

Strong attention to detail is important. You'll be dealing with invoices, vendor payments, payroll information and project records where accuracy matters. Nice to Have The following would be considered assets, but aren't required:

- Experience working in construction, contracting, mechanical, industrial or another project-based business.
- Experience with construction billing or job costing.




- Familiarity with purchase orders, subcontractors, WSIB and Certificates of Insurance.
- Post-secondary education in accounting, bookkeeping or business administration.
- Strong QuickBooks experience.
- CPA designation, CPA candidacy or other formal accounting education.

Construction experience would be great, but we're open to someone from another industry who has a strong accounting and administrative background and is willing to learn how our business operates.

About Thompson Miller

Thompson Miller Specialty Rigging Corp. is a Brampton-based specialty rigging contractor working throughout Ontario.

Our projects include machinery moving, crane and rigging work, rooftop equipment installations, electrical switchgear moves, steel erection and other specialized lifting and transportation projects.

We're a small and growing team, which means you'll work directly with the people making decisions rather than being one person in a large accounting department.

We keep the office professional, but we're not overly corporate. We're looking for someone who can fit into a small team, communicate comfortably with management and field employees, and take pride in keeping their part of the business organized.

Compensation & Advantages

- $60,000–$70,000 per year, depending on experience.

Work Location This position will initially be primarily based at our Brampton office.

In-person attendance will be important during the training and transition period. Once you're fully trained, comfortable in the role and we've established a good working rhythm, some work-from-home flexibility may be available.
