Position Summary The Operations Administrator provides essential administrative and operational support to the Operations team, with a primary focus on maintaining accurate databases, service records, tool and parts documentation, and operational data. Reporting to the Operations Manager, this role ensures that service-related activities are processed accurately, efficiently, and confidentially while supporting a collaborative team environment.

The Operations Administrator coordinates the movement, repair, inspection, and calibration of tools and parts; maintains accurate records within company systems; prepares shipping and service documentation; and supports the timely completion of operational requirements. The role also identifies opportunities for process improvement and contributes to initiatives that enhance efficiency, accuracy, and workflow across the Operations Group.

The successful candidate is highly organized, detail-oriented, self-motivated, and able to manage multiple priorities while maintaining a high standard of accuracy and confidentiality.

Responsibilities

- Provide day-to-day administrative support to the Operations team.
- Maintain and regularly update service tracking reports, ensuring information is accurate and current.




- Coordinate repairs and servicing of tool parts, including tracking progress and completion.
- Maintain calibration records and coordinate the calibration of tools in accordance with established requirements.
- Generate shipping documentation for the dispatch of tools and parts.
- Create new tools, tool parts, and part models in internal systems and upload all corresponding certificates and supporting documentation.
- Process the receipt of incoming tools and parts, ensuring records and system information are updated accordingly.
- Create work orders for tool inspections and maintain accurate records of inspection activities.
- Maintain and organize operational data, including records, inventory information, certificates, and other relevant documentation.
- Coordinate and facilitate the scheduling and administration of employee training courses.
- Analyze existing operational processes and identify opportunities to improve efficiency, accuracy, and workflow.
- Recommend and support the implementation of process improvements and workflow enhancements within the Operations Group.
- Collaborate with cross-functional teams to improve communication, streamline processes, and enhance operational efficiency.
- Maintain organized electronic and physical filing systems as required.
- Apply and promote established QHSE Management Systems within the scope of the position.
- Promote environmental awareness and the conservation of natural resources through responsible workplace practices, including recycling and waste reduction.
- Foster a positive, professional, cooperative, and productive work environment.

Requirements

- 5+ years proven experience in an administrative, operations, service, logistics, or coordination role is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
- Exceptional attention to detail and accuracy.
- Strong data-entry and record-management skills.
- Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
- Experience working with databases or enterprise management systems
- Strong written and verbal communication skills.
- Ability to work independently while contributing effectively within a team environment.
- Demonstrated ability to identify issues, analyze processes, and recommend practical improvements.
- Ability to handle confidential information with discretion and professionalism.
- A proactive, self-motivated approach with a commitment to quality and continuous improvement.
- Commitment to workplace health, safety, quality, environmental, and compliance requirements.
- Reliable transportation and the ability to travel to and from the workplace as required.

Working Environment This position works closely with the Operations team and other departments to ensure the efficient coordination and administration of service, tool, parts, training, and documentation activities. The role requires a high level of organization, responsiveness, confidentiality, and attention to detail in a fast-paced operational setting.

Pay: From $25.00 per hour
