Westside Youth Soccer Association (WYSA) is recruiting for an Operations Coordinator to join our club. Working closely with our staff and board, you will be the operational lead in the club helping to manage day to day needs along with putting in place the efficiencies required for club growth and service to its members.

Compensation & Structure

- Organization: Westside Youth Soccer Association
- Location: West Kelowna, BC
- Position Type: 32 hrs/week, including in-season evening & weekend availability
- Start Date: September 15, or sooner if possible
- Location: West Kelowna; 20 hours per week in-office with posted hours, other 12 hours remote or at the field supporting programs. Weekends are key to supporting our programs, so working Saturdays is a regular expectation (approx 2 per month)
- Reports to: WYSA Executive Director
- Salary: $50,000 CAD per annum
- Benefits: 3 Weeks (15 business days) annual paid vacation
- Expense Coverage: Monthly cellular phone reimbursement

Key Responsibilities As the WYSA Operations Coordinator, you will coordinate several key operational areas:

Field & Facility

- Determine field requirements and coordinate municipal field bookings.
- Secure indoor facilities and manage facility permits.




- Resolve field conflicts and coordinate field preparation, lining, and turf requirements.
- Maintain operational relationships with municipalities.

Club & Financial Management

- Monitor operational expenses and forecast requirements.
- Report operational budget performance.
- Manage all incoming communications and information requests.

Game & Practice Scheduling

- Working with the ED/TD, build the game and practice schedules.
- Coordinate league schedules and schedule changes.
- Provide final schedules to teams and post on 360player and the website.

Tournaments, Camps & Major Events

- Coordinate tournament operations and camp logistics.
- Coordinate fields, facilities, referees, equipment, volunteers, and event scheduling.
- Coordinate sponsorship activation and event logistics.

Equipment & Uniform Management

- Determine equipment and uniform requirements with ED/TD.
- Coordinate procurement, storage, and distribution.
- Ensure coaches are supported with prepared equipment at the field storage units.

Referee & Officiating Logistics

- Recruit and coordinate referees.
- Assign referees and manage weekly referee schedules.
- Confirm availability and coordinate officials for tournaments and events.

Volunteer & Risk Management

- Recruit team managers and event volunteers.
- Coordinate volunteer deployment and volunteer coaches with Technical staff.
- Ensure required volunteer onboarding steps are completed.

Pay: $50,000.00 per year
