We are seeking a Part-Time Medical Office Assistant to join our team. The ideal candidate is a team- player, with excellent interpersonal skills, who works well under pressure and is able to balance and successfully prioritize multiple duties. This role requires collaborative relationships with colleagues and patients. It is an excellent opportunity for a friendly, organized and detail-oriented MOA.

This is a part time position (2-3 days per week) reporting to the office manager.

Clinic hours are Monday to Friday between 8:30am to 5:00pm - no weekend shifts

Position Duties & Responsibilities:

¨ Maintaining patient confidentiality at all times

¨ Front desk reception & client care, and Electronic Medical Record (EMR) Management

¨ Answering phones on a multi-line switchboard, fielding and directing calls, relaying messages to appropriate individuals as required and contacting patients as needed.

¨ Booking new and follow-up patient appointments and providing confirmation calls to patients as required.

¨ Receiving, greeting, and directing patients, vendors, and visitors, and responding to general inquiries in a professional and positive manner.

¨ Monitoring and maintaining patient waiting area

¨ Receiving, sorting & directing incoming packages, mail, and faxes & scans

¨ Use of an Electronic Medical Record (EMR) system to create and maintain up-to-date patient records.

¨ Directing and assisting patients to exam rooms, assisting physicians in procedures, collecting specimens, taking vitals, & stocking rooms

¨ Communicating patient/clinic needs and requests in a timely and effective manner

¨ Completing appropriate medical billing and resubmissions to AHS using EMR software

¨ Collecting payments for uninsured services directly from patients as needed

¨ Laundering gowns and clinic linens as required





¨ Collecting and entering patient data in EMR

¨ Answering patient questions and concerns, interacting in a supportive and informative manner.

¨ Accessing Alberta Netcare

¨ Cleaning and organizing exam rooms between patients and at the end of each day.

Qualifications:

High School Diploma or GED (Required)

Medical Office Assistant Diploma (MOA) or Direct experience working as a Medical Office Assistant for a minimum of 3 years (Required)

Priority will be given to candidates with previous experience with Electronic Medical Records, assisting physicians & AHS billing.

Functional knowledge: Skilled at managing a front desk effectively and efficiently. Knowledge of medical terminology and medical records management is essential. Knowledge of primary healthcare, billing, diagnostic, and service codes considered a strong asset.

Experience: Minimum of three years of relevant healthcare experience is desired, preferably in a primary care setting. Excellent proficiency with Windows platform and EMR systems required.

Previous experience in handling confidential or sensitive information; Computer proficiency required. Experience with Microsoft Office (Outlook, Word, Excel) considered an asset.

Organizational and problem-solving skills: Ability to manage time efficiently and prioritize tasks; ability to manage multiple conflicting priorities.



Excellent organizational and communication skills and proven ability to work under pressure in a dynamic environment. Meticulous attention to detail and records maintenance skills. Excellent problem-solving skills and follow-through with ability to make intuitive decisions. Must be flexible and adaptable to change.

Communications and customer relations skills: Strong communication, interpersonal and relationship-building skills; resilient, able to handle requests and complaints in a professional, non- confrontational manner. Superior telephone manners. Demonstrated strength in developing collaborative, effective working relationships with clients of cultural and socioeconomic diversity.

Ability to work independently and effectively within a multidisciplinary team. Ability to share information and responsibility; is not territorial. Excellent customer service with a proactive approach to problem solving. Ability to work both independently and in a team environment.

Additional requirements:

Background check: A clear Criminal Background check, inclusive of a vulnerable sector search, is required to start (must be valid within 90 days of hire).

Starting Salary based on experience: $17.00-$19.00 per hour with annual increases available based on performance.
