POSITION
People & Culture Administrator
LOCATION
Toronto, Ontario (Hybrid)
REPORTING RELATIONSHIPS
As part of Potentia’s People & Culture team, this position reports to the Senior Manager, People & Culture and has no direct reports.
ACCOUNTABILITIES AND KEY FUNCTIONS The People & Culture Administrator handles the day-to-day operational work behind hiring, onboarding, payroll, and benefits for Potentia’s employees, and is responsible for completing this work accurately, on time, and to a consistent standard as the company grows.
The incumbent of the role is a People & Culture professional ready to take their career to the next step. They thrive on working within a fast-paced environment and are adaptable to change. They’re a team player with strong attention to detail and organizational skills, they have excellent communication skills and sound judgment with confidential information.
Role & Responsibilities:
Recruitment Coordination
- Post and manage job openings on various job boards;
- Schedule pre-screening calls and coordinate interviews for all open roles;
- Communicate with candidates throughout the hiring process for every open role;
Onboarding & Offboarding
- Coordinate IT setup, equipment, and system access so everything is ready before each new hire’s start date;
- Send welcome communications and manage shipping for welcome boxes;
- Support the Senior Manager with manager intake forms, onboarding check-ins,
and exit interviews;
- Complete offboarding checklists and coordinate the return of company assets and closure of system access with IT and Finance;
- Complete offboarding documentation and process benefit changes for departing employees;
Payroll & Benefits Administration
- Prepare payroll input forms and support each pay cycle, including timekeeping;
- Ensure taxable benefits, retroactive pay, bonus pay, salary adjustments, and RRSP contributions are processed accurately and on time every cycle;
- Administer benefit enrollments and terminations and communicate benefit changes to employees;
- Support monthly benefit contribution reconciliation and benefit invoice administration;
HRIS, Directory & Systems Administration
- Keep ADP Workforce Now employee records accurate and current, and maintain the org chart, seating chart, and staff directory;
- Update and maintain HR content on Jostle, including the organization chart;
- Maintain phone and account administration, and submit and track IT tickets for onboarding, offboarding, and employee support requests;
Employee Support
- Document employee relations matters for the Senior Manager’s review;
- Prepare HR letters, employment confirmations, and other standard documents from approved templates;
- Plan and run employee experience programs — events, recognition, and milestones — as directed by the Senior Manager;
Committee, Compliance & Records Support
- Schedule meetings, send communications, and track action items for the EDI, social, and health & safety committees on behalf of People & Culture;
- Keep confidential HR files organized and audit-ready at all times, following Potentia’s documentation and confidentiality standards;
Process Ownership & Continuous Improvement
- Maintain and update People & Culture SOPs, checklists, and templates as the team grows;
- Flag process gaps and improvement opportunities proactively, without waiting to be asked;
- Support updates to Potentia’s HR policy manual and employee handbook, as directed by the Senior Manager;
- Act as Division Administrator in NetSuite for all People & Culture vendors;
- Help train new employees on People & Culture processes;
General
- Support credit card and expense report administration as assigned;
- Other administrative tasks as required from time to time.
KNOWLEDGE, SKILLS & ABILITIES
- Post-secondary diploma or degree in Human Resources, Business Administration, or a related field;
- Experience with ADP Workforce Now or a comparable HRIS is considered an asset;
- Working knowledge of payroll and benefits administration processes;
- Strong proficiency in Microsoft Excel and other Microsoft Office applications;
- Excellent organizational skills and strong attention to detail;
- Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment;
- Strong written and verbal communication skills;
- Sound judgment and discretion when handling confidential information;
- Experience with LinkedIn Learning/Recruiter, Indeed, WaterlooWorks is considered an asset.
MINIMUM QUALIFICATIONS
- Minimum of 1–3 years of experience in a People & Culture, human resources, or administrative coordination role.
COMPENSATION
- Base salary range: $60,000 to $70,000 CAD, commensurate with experience.
- Compensation will vary depending on experience and qualifications.
