Job Description Summary

The Graduate Awards Coordinator is responsible for the complex administration of graduate merit-based award competitions on behalf of the university. This position oversees the application and adjudication processes for multiple award competitions involving university, provincial and national funding agencies and coordinates other scholarship / funding responsibilities of the Faculty of Graduate and Postdoctoral Studies (G+PS). Organizational Status

This position reports to the Graduate Awards Manager.



This position independently communicates and works with the Associate Dean - Funding, Assistant Dean - Student Administration and Awards, Awards Analyst, other senior staff members in the Dean s Office, graduate program staff and faculty, students, Enrolment Services, Financial Services, external donors and federal/provincial granting agencies. Work Performed

Coordination of award competitions 50%

Coordinates operational support of concurrent internal and external scholarship competitions throughout year (Killam Postdoctoral Fellowships and Doctoral Scholarships, Banting Postdoctoral Fellowships, Vanier Scholarships, Tri-Agency/Affiliated Fellowships, Trudeau Scholarships, Aboriginal Graduate Fellowships) to ensure best practices are followed in adjudicating and selecting scholarship nominees/recipients. In cases when established policies and procedures are insufficient, reviews complex queries brought forward from Graduate Awards staff regarding eligibility, admissibility of application materials, departmental review procedures, deadlines, and adjudication processes to determine if applications / nominations will be accepted for adjudication. Under direction of Awards Manager, invites UBC faculty to serve on adjudication committees.



Prepares and distributes application files to adjudicators; prepares variety of reports and spreadsheets for adjudicators; consolidates and analyzes adjudicator rankings in preparation for committee meetings, identifying issues to be discussed by adjudicators; coordinates distribution of thank-you letters to adjudication committee members. Based on program changes and feedback from adjudicators and students, reviews and revises application forms (online application system, reference forms, etc.) for upcoming competitions. Based on outcomes of adjudication committee meetings, coordinates work of Graduate Awards team to prepare recommended files for submission to external funding; responsible for generating or revising (depending on the competition) university nomination letters on behalf of the Dean that accompany application files. Based on outcomes of adjudication committee meetings, coordinates work of Graduate Awards team to notify graduate programs of competition results, make funding offers to recipients and assign funding to recipients. Serves as key resource for graduate programs in establishing best practices and business processes for their internal award selection and recommendation processes. Coordination of award payments 10%

Reviews datasets to determine award amounts for internal award programs such as the International Tuition Award and Graduate Support Initiative and uploads batches of award assignments to the Student Information System. Coordinates regular SISC error searches and the resolution of outstanding issues; works with staff in Student Systems and Enrolment Services as necessary to resolve complex errors.
