Position Summary

The Program Administrator provides comprehensive administrative, data, reporting, and operational support across Easter Seals Alberta's programs. This position plays a key role in ensuring program information, client records, reporting requirements, communications, and administrative processes are accurate, timely, organized, and aligned with organizational and contractual expectations. The Program Administrator works across multiple program areas, including the Family Supports Initiative, Family Resource Centre, Guardianship & Trusteeship, Transition and Family Supports, scholarship programs, and other provincial or community-based programs as assigned.

A significant component of the role is the administration and oversight of the organization's Salesforce case management system, including data integrity, reporting, tracking, documentation, and supporting staff with consistent use of the system.

The position requires a high level of organization, attention to detail, discretion, problem-solving,



and the ability to manage multiple priorities and deadlines. The successful candidate will be advanced in Microsoft Excel and comfortable working with databases, spreadsheets, reporting tools, and technology platforms.

Key Responsibilities

- Provide administrative support across multiple programs, including intake, referrals, scheduling, documentation, and correspondence.
- Administer and maintain Salesforce case management data, reports, dashboards, workflows, and documentation.
- Collect, validate, analyze, and report program data, including Government of Alberta and funder reporting.
- Develop and maintain advanced Excel spreadsheets, dashboards, tracking tools, and reporting templates.
- Support scholarship administration, application tracking, and confidential records.
- Monitor program email accounts, respond to routine inquiries, and coordinate follow-up.
- Support data quality, privacy, audits, quality assurance, and continuous process improvement.
- Provide administrative and reporting support to program leadership and collaborate with internal and external stakeholders.

Qualifications

Required

- Diploma or degree in Business Administration, Office Administration, Social/Human Services, Program Administration, Data Management, or a related field.




- 3–5 years of progressively responsible administrative, program, data, or coordination experience.
- Salesforce or other case-management/database experience.
- Intermediate Microsoft Excel skills, including formulas, lookups, PivotTables, data cleaning, and reporting.
- Robust Microsoft Office, organizational, analytical, communication, and problem-solving skills.
- Experience managing confidential information and multiple competing priorities.

Assets

- Experience in disability services, social services, healthcare, education, nonprofit, or government-funded environments.
- Government/funder reporting, KPI tracking, dashboards, Power Query/Power Pivot, data reconciliation, or program evaluation experience.
- Knowledge of Alberta disability and provincial systems such as PDD, FSCD, AISH, or FMS.

Other

- Full-time position (40 hours/week), reporting to the Director of Impact.
- In-office role with travel to other locations as required.
- Successful police information and vulnerable sector check required.
