POSITION SUMMARY Reporting to the Enterprise Content Manager, the Recording Clerk is responsible for recording, transcribing and preparing the minutes of WFN meetings, which includes but is not limited to, Advisory Council meetings, Elders Group meetings, Youth Council meetings, and Membership Meetings.

EDUCATION/EXPERIENCE

Minimum Grade 12 or equivalent

Administrative Assistant or Business Administrative certificate

Minimum of 2 years experience taking Minutes in a First Nation or other government setting

Experience working with indigenous communities/people considered an asset

Equivalent combination of education, training and experience may be considered

REQUIREMENTS

Criminal Record Check with results acceptable to WFN

Maintains a high level of confidentiality and uses discretion on all matters relating to the affairs of the Westbank First Nation

JOB DUTIES/RESPONSIBILTIES

Prepares agendas, packages and meeting minutes and does all necessary follow-up for the Advisory Council, Elders Group, Recognition of Indigenous Rights and Self-Determination (RRISD), Elders Council,



& Youth Council meetings, Continuing Care Working Group, Membership Meetings and Special Membership Meetings

Prepares minutes, along with exhibits, from the recording of Membership Meetings and distribute to Members of Council for their information

Summarizes the highlights of Membership Meetings for insertion in the WFN quarterly report;

Coordinates and schedules meetings and appointments as required

Prepares agendas and meeting minutes for other meetings as directed by the Governance Coordinator, Enterprise Content Manager, or Council Secretariat

Supports organizing, preparing, and distributing General and In Camera Council Meetings, as well as Council Committee meetings as directed by the Governance Coordinator

Distributes, via e-mail, approved meeting minutes and approved WFN Policies to WFN Members who have requested to be placed on an e-mail distribution list

Electronically files all minutes, resolutions, policies and other required documents on Laserfiche

Prepares reports, memorandums, letters and other correspondence as required

Performs all duties and responsibilities in accordance with the Westbank First Nation policies, standards, and procedures and as directed by the Enterprise Content Manager

KNOWLEDGE/SKILLS/ABILITIES





Knowledge of meeting procedures and the principles and procedures of record keeping

Friendly, personable, and qualified

Strong computer skills, including Word, Excel, Outlook, Publisher and Access

Ability to manage confidential material and to maintain confidentiality

Strong organizational skills and the ability to set priorities

Ability to prepare reports, letters and professional correspondence

Ability to work in a fast-paced environment and under pressure

Ability to work independently or within a team

The median salary for this position is $61,656.73
