We are seeking a proactive and detail-oriented Project Coordinator (Design) to oversee residential and commercial cabinetry projects from order confirmation through final installation. This role is responsible for planning project schedules, coordinating cross-functional teams, supervising in office activities, and ensuring projects are completed on time, within budget, and to the highest quality standards.
The ideal candidate is organized, solution-oriented, and capable of managing multiple projects simultaneously while maintaining excellent communication with customers, internal departments, and external contractors.
Responsibilities
Key Project Coordinator (Design) Duties
- Assist in planning, scheduling, and coordinating project activities.
- Prepare and maintain project documentation, reports, and meeting minutes.
- Monitor project timelines, milestones, and deliverables.
- Coordinate communication between team members, clients, vendors, and stakeholders.
- Schedule meetings, prepare agendas, and follow up on action items.
- Track project budgets, expenses, and resource allocation.
- Identify project risks and escalate issues to the project manager when needed.
- Maintain project management software and update project status regularly.
- Ensure compliance with company policies,
procedures, and quality standards.
- Support procurement of project materials, equipment, or services.
- Assist with preparing presentations and project progress reports.
- Help resolve administrative and logistical issues affecting project execution.
- Monitor project performance using key performance indicators.
- Maintain accurate records and organize project files.
- Support project closeout activities, including documentation and lessons learned.
Design & Estimating
- Review project drawings, specifications,estimates and customer requirements for accuracy.
- Ensure project designs comply with company standards and customer expectations.Review architectural and interior design drawings.
- Coordinate the preparation and revision of shop drawings.
- Ensure all drawings comply with project specifications and building requirements.
- Manage design revisions and maintain version control.
- Obtain client, consultant, and architect approvals before production.
- Coordinate material selections, finishes, colors, and hardware.
- Verify field measurements.
- Ensure design changes are communicated to production and installation teams.
Client & Site Coordination
- Act as the primary point of contact for clients throughout the project.
- Coordinate site measurements and site readiness inspections.
- Schedule deliveries and installations.
- Manage deficiency lists, service requests, and warranty items.
- Communicate project updates to all stakeholders.
Qualifications & Require Skills
- Diploma or Bachelor's degree in Interior Design, Architecture, Construction Management, Engineering, Project Management, or a related field.
- Equivalent industry experience may be considered in place of formal education.
- 1–2 years of project management experience, preferably in the cabinetry, millwork, construction, or building materials industry.
- Experience with kitchen and bath cabinetry projects is considered a strong asset.
- Proficiency in major design software such as AutoCAD, 2020 Design, SketchUp, Cabinet Vision, or similar programs.
- Strong project planning, scheduling, and organizational skills.
- Excellent problem-solving and decision-making abilities.
- Ability to manage multiple projects in a fast-paced environment.
- Strong communication and interpersonal skills.
- Fluent in English and / or French (both written and spoken).
- Proficiency in Microsoft Office, particularly Excel; experience with ERP systems is an asset.
- Valid driver’s license and willingness to travel to project sites as required.
- Attention to detail and problem-solving skills.
- Knowledge of construction sequencing and installation processes.
Pay: From $50,000.00 per year
