Job Overview The Purchasing Specialist is responsible for supporting the purchasing, inventory, and supply chain needs of a fast-paced e-commerce business. This role focuses on sourcing products, maintaining supplier relationships, negotiating competitive pricing, preparing purchase orders, monitoring inventory levels, and ensuring products are available to support online sales across multiple e-commerce channels.
The Purchasing Specialist works closely with suppliers, freight carriers, warehouse teams, accounting, and e-commerce operations to maintain product availability, control purchasing and transportation costs, and prevent stock shortages or excessive inventory. The ideal candidate is highly organized, detail-oriented, comfortable working with data, and able to manage multiple suppliers, products, and purchase orders simultaneously.
Responsibilities
- Source products, materials, and suppliers based on company purchasing and e-commerce requirements.
- Obtain and compare supplier quotations, pricing, minimum order quantities, lead times, payment terms, and shipping costs.
- Negotiate competitive product pricing, discounts, payment terms, freight costs, and purchasing conditions.
- Prepare, issue, and maintain accurate purchase orders.
- Monitor open purchase orders and follow up with suppliers regarding production, availability, backorders, and delivery timelines.
- Monitor inventory levels and sales activity to support timely product replenishment.
- Help prevent stockouts, overstock situations, and unnecessary inventory carrying costs.
- Review product sales trends and inventory movement to assist with purchasing decisions and demand planning.
- Coordinate inbound shipments with suppliers, freight forwarders, carriers, customs brokers, and warehouse teams.
- Track domestic and international shipments and resolve delays, shortages, damaged products, or receiving discrepancies.
- Calculate and review product costs, freight expenses, landed costs,
and other purchasing-related expenses.
- Identify opportunities to reduce purchasing, freight, and supply chain costs while maintaining product availability.
- Maintain accurate supplier information, product costs, lead times, minimum order quantities, and purchasing records.
- Communicate with suppliers regarding product specifications, packaging, availability, pricing changes, and order requirements.
- Build and maintain professional relationships with existing and prospective suppliers.
- Evaluate supplier performance based on pricing, quality, reliability, communication, and delivery performance.
- Research alternative products and suppliers when necessary to improve availability, pricing, or profitability.
- Coordinate with e-commerce, warehouse, accounting, sales, and management teams regarding inventory and purchasing requirements.
- Review supplier invoices, purchase orders, receiving records, and shipping documentation for accuracy.
- Assist with resolving invoice discrepancies, supplier credits, shortages, and product-related issues.
- Maintain accurate purchasing and inventory information within company systems.
- Support purchasing activities for products sold through the company website and third-party online marketplaces.
- Assist with new product sourcing and product assortment expansion based on business needs.
- Support additional procurement, inventory, logistics, and e-commerce operational projects as assigned.
Requirements
- Previous experience in purchasing, procurement, inventory management, supply chain, logistics, e-commerce operations,
or a related role is preferred.
- College diploma or university degree in Business Administration, Supply Chain Management, Commerce, Operations, or a related field is preferred.
- Experience working in an e-commerce, retail, wholesale, distribution, or product-based business is considered an asset.
- Strong understanding of purchasing, inventory management, product replenishment, and supplier management.
- Strong analytical skills with the ability to review sales, inventory, pricing, and purchasing data.
- Excellent organizational skills with the ability to manage multiple suppliers, products, purchase orders, and deadlines.
- Strong negotiation and supplier communication skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy when reviewing purchase orders, pricing, invoices, shipping documents, and inventory information.
- Strong problem-solving skills with the ability to address inventory shortages, supplier issues, shipment delays, and purchasing discrepancies.
- Proficiency with Microsoft Excel, Outlook, and other Microsoft Office applications.
- Experience using ERP, inventory management, purchasing, accounting, or e-commerce software is considered an asset.
- Familiarity with e-commerce platforms and online marketplaces such as Shopify, Amazon, eBay, or similar platforms is considered an asset.
- Understanding of domestic and international freight, shipping, customs, and import processes is considered an asset.
- Ability to work independently while collaborating effectively with warehouse, accounting, e-commerce, and management teams.
- Ability to prioritize responsibilities and work effectively in a rapid-paced e-commerce environment.
- Professional, reliable, proactive, and highly organized approach to purchasing and supplier management.
Pay: $23.00-$30.00 per hour
