We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently.
Prior experience in medical or dental office settings is a plus, but not mandatory. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations.
Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry tasks accurately into relevant databases such as QuickBooks or other software
- Handle clerical duties including filing, photocopying, and organizing documents
- Assist with billing, bookkeeping, and basic administrative tasks as needed
- Support customer service efforts by addressing inquiries and providing information
- Maintain a tidy front desk area and ensure all office supplies are stocked
- Proofread correspondence for accuracy and professionalism
- Support medical or dental office operations by managing patient records and appointment scheduling if applicable
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with the ability to learn new software quickly (e.g., QuickBooks)
- Excellent organizational skills with attention to detail in data entry and filing
- Exceptional customer service skills with professional phone etiquette
- Ability to handle multi-line phone systems efficiently
- Clerical experience in an office environment, preferably in medical or dental settings
- Typing speed and accuracy for efficient data entry and correspondence proofreading
- Basic bookkeeping or bookkeeping experience is advantageous
- Strong organizational skills to manage multiple priorities effectively
- Ability to work independently while maintaining a friendly demeanor with visitors and staff
- Assisting the physiotherapist with basic modalities. Training will be provided.
