Position Summary The Receptionist is responsible for providing front-line administrative and customer service support to ensure the efficient operation of the office. This role serves as the first point of contact for visitors, clients, and employees, delivering a professional and welcoming experience while managing communications, office coordination, and general administrative tasks. The position also provides clerical support to the Accounts Payable team and other departments, ensuring accurate documentation, organization, and confidentiality of information.

Position Specific Responsibilities
Greet and welcome visitors, clients, and employees in a professional and courteous manner
Answer, screen, and direct incoming phone calls promptly and professionally
Manage incoming and outgoing mail, courier deliveries, and office correspondence
Maintain a clean, organized, and professional reception and common area
Monitor office supplies and coordinate ordering as required
Assist with general administrative duties including data entry, filing, and document preparation
Provide support to internal teams with miscellaneous administrative tasks Accounts Payable Support: Assist with receiving and organizing vendor invoices
Perform basic data entry of invoices into the accounting or ERP system
Support document scanning, uploading, and digital filing of AP records
Assist with matching purchase orders to invoices as directed
Provide general administrative support to the Accounts Payable team as needed
Maintain organized and accurate filing systems (digital and/or physical)
Ensure confidentiality and secure handling of sensitive information
Adhere to company policies, procedures, and internal standards Required Minimum Qualifications High school diploma required; post-secondary education in Business Administration or a related field is considered an asset
Previous experience in a receptionist, administrative, or customer service role preferred
Experience in an office or accounting environment, including exposure to accounts payable processes, is considered an asset
Proficiency with Microsoft Office applications, including Outlook, Word, and Excel
Comfortable using office equipment and multi-line phone systems
Strong communication and interpersonal skills with a professional and customer-focused approach
Excellent organizational and time management skills with the ability to prioritize and multitask
Strong attention to detail with a high level of accuracy
Ability to maintain confidentiality and handle sensitive information
Self-motivated with a positive attitude and willingness to support multiple departments
Ability to work both independently and collaboratively in a team environment Physical Demands Prolonged periods of sitting at a desk and working on a computer
Frequent use of hands and fingers for typing, data entry, and operating office equipment
Ability to focus on detailed work for extended periods of time
Occasional standing, walking, or light movement within an office environment
May be required to lift and carry light office materials (up to 10 lbs) such as files or documents
Visual acuity required for reading screens, reviewing documents, and performing data entry with accuracy
Ability to manage tasks in a quick-paced environment with frequent interruptions
