We are a well-established, high-volume Ear, Nose, and Throat (ENT) specialty clinic serving the west Edmonton community with a team of 5 ENT Specialists. We are seeking an experienced, highly organized, and professional Referral Coordinator to join our clinic immediately.

This is a fast-paced specialist practice with a high volume of incoming referrals and referral-related administrative work. The successful candidate must be confident working independently, managing a large referral workload, and maintaining accuracy and efficiency with minimal supervision.

The Referral Coordinator will be responsible for managing referrals from initial receipt through processing, physician review, scheduling, and ongoing follow-up. This position requires someone who can prioritize competing demands, work through large referral/import pools, identify missing or incomplete information, and ensure referrals are processed appropriately and efficiently.

Strong hands-on experience with MedAccess EMR is mandatory and non-negotiable. Candidates must be comfortable navigating MedAccess, managing referral information, documenting accurately, and working efficiently within the EMR.

We are looking for someone who can step into the role with minimal training and contribute effectively from day one.

Schedule

Full-Time – 37.5 hours/week

Responsibilities

- Manage a high volume of incoming ENT referrals from physicians, nurse practitioners, hospitals, clinics, and other healthcare providers
- Process and accurately enter new referrals into MedAccess EMR
- Work through and manage large referral/import pools in a timely and organized manner
- Review incoming referrals for completeness, accuracy, and appropriate supporting documentation
- Identify missing information, clinical documentation, or diagnostic reports and follow up with referring offices as required
- Ensure referrals are directed to the appropriate ENT Specialist and/or physician review process
- Prepare referrals and relevant clinical information for physician review
- Monitor referral status and ensure referrals do not become overlooked or delayed
- Manage referral waitlists and maintain accurate referral tracking
- Contact patients and referring providers regarding referral status, appointments, and required information
- Coordinate appointment scheduling following physician review and referral triage




- Process urgent and time-sensitive referrals appropriately according to clinic protocols
- Communicate professionally with referring physicians, medical offices, hospitals, patients, and other healthcare providers
- Follow up on outstanding referrals, investigations, reports, and documentation
- Review and manage referral-related correspondence and incoming documentation
- Maintain accurate and up-to-date patient information and referral records within MedAccess
- Ensure duplicate referrals and existing patient records are identified and handled appropriately
- Maintain organized electronic referral records and documentation
- Assist with maintaining accurate referral lists, outstanding referral reports, and other tracking systems
- Communicate with physicians and clinic staff regarding referral concerns, priority referrals, and scheduling issues
- Handle a high volume of administrative work while maintaining accuracy and attention to detail
- Maintain strict patient confidentiality and comply with clinic policies and privacy requirements
- Work independently and take ownership of the referral process from intake through completion
- Support the overall efficiency and patient flow of the ENT clinic

Qualifications

- Completion of a recognized Medical Office Assistant program or equivalent medical administrative experience
- Minimum 1–2 years of experience in a medical office, specialist clinic, referral department, or similar healthcare setting
- Advanced hands-on experience with MedAccess EMR is mandatory and non-negotiable
- Previous experience specifically handling medical referrals is strongly preferred
- Experience working in a specialist clinic is considered a strong asset
- Comfortable managing a high volume of referrals and a large referral/import pool
- Strong understanding of the referral process within a medical/specialist setting
- Excellent organizational and time-management skills
- Ability to prioritize urgent,



routine, and outstanding referrals appropriately
- Exceptional attention to detail and accuracy
- Solid computer and EMR navigation skills
- Excellent written and verbal communication skills
- Skilled and confident when communicating with physicians, medical offices, patients, and healthcare providers
- Ability to work independently with minimal supervision
- Self-motivated and able to take ownership of assigned responsibilities
- Able to work efficiently under pressure in a fast-paced, high-volume environment
- Reliable, dependable, and punctual
- Strong problem-solving and follow-up skills
- Professional demeanor and commitment to patient confidentiality
- Must be available to start immediately

Ideal Candidate The ideal candidate is someone who is experienced, independent, organized, and extremely comfortable working within MedAccess. You should be able to come into a busy ENT specialist clinic, understand the referral workflow, work through a large volume of referrals and imported documents, identify what needs to be followed up on, and keep the referral process moving without requiring constant direction. This is not an entry-level position. We are looking for someone with proven medical office and referral coordination experience who can work confidently and efficiently from day one.
