The Regina Open Door Society Inc. is seeking qualified individuals to staff the full-time permanent position of Reporting and Evaluation Coordinator.

Position Summary

Under the supervision of the Director and Manager of Settlement, Family and Community Services (SFCS) Department, this position collaborates with management, team leaders, and staff to produce accurate program and evaluation reports. The role also supports program evaluation and monitoring to ensure funded programs meet targets, funder requirements/standards, and the needs of newcomers.

- Minimum of three years related work in the field of program evaluation and reporting
- Valid Saskatchewan Class 5 (novice 2) license

Specific Competencies

- Working knowledge of program evaluation/survey (i.e. outcome measurements), proposal and report writing

Duties and Responsibilities In collaboration with management and program team leaders: Program

Administration

- Assist in project coordination
- Collect evaluation results and produce program outcomes reports
- Conduct a regular audit to ensure data entry is accurate and up-to-date
- Deliver iCARE privacy policy briefing and reporting training
- Design/Update standardized data gathering tools (i.e. internal needs assessment forms, information gathering forms, referral forms, etc.) for all IRCC funded programs
- Develop, update, and maintain standardized reporting tools and templates for all funded programs.
- Develop periodic database reports to update on program and staff performance
- Develop/Update reporting tools for SFC funded programs
- Implement changes to the reporting structure to meet funders expectations
- In collaboration with management, team leaders and staff produce monthly, quarterly and annual program-specific reports
- In collaboration with RODS programs, produce and submit monthly/annual reports




- Monitor and report program activities, targets, and outcomes
- Once program management approves program reports, submit to funders
- Participate in providing feedback, supporting implementation, and contributing to ongoing improvements of RODS and funder database system initiatives
- Prepare and deliver training on approved database, standardized reporting, and data collection tools for both new and existing staff to ensure consistency and accuracy
- Respond to funders enquiries in regards to reporting
- Review and compile multi-year reports
- Support each program with the development of tools to measure program outcomes
- Support the implementation of work plan for each program and staff
- Track deadlines and follow-ups

Other duties as required

Administrative Support

- Assist with event or meeting coordination
- Conduct monthly audits of files and other program documents to ensure program are meeting the standards.
- Contribute to the preparation of annual reports, proposals and other documents.
- Support the implementation and monitoring of program activities and deliverables.
- Data entry and recordkeeping.
- Handle confidential information appropriately
- Maintain filing systems (electronic and paper)
- Manage emails, phone calls, and correspondence
- Order office supplies and coordinate logistics
- Prepare documents, reports, and presentations
- Receive and direct visitors or inquiries
- Review, edit, and evaluate reports, financial documents, and budgets and to ensure accuracy and completeness.
- Assist with budget preparation, expenditure tracking, and financial reporting.
- Monitor program budgets and reconcile supporting documentation as required.
- Provide administrative and operational support to program staff and management.

Salary Level/Classification

Hours of work are Monday to Friday from 8:15 AM to 3:45 PM with one -hour lunch break. All positions at RODS require a clean criminal record/child abuse registry check. There is a cost shared perks package available to the employee with successful completion of a probationary period. The annual salary for this position starts at

$47,073.82 ($26.82 per hour) at Step one of the admin 2 RODS wage category. Pay periods are the end of day on the 15th of the month and the end of each month.
