The Service Administrator is responsible for providing administrative support to the service department by managing work order processing, customer communications, data entry, invoicing support, scheduling assistance, and record maintenance. This role serves as a key point of contact for customers, and internal departments, ensuring service activities are documented accurately.
Key Responsibilities
Administrative Support
- Provide administrative support to the Service Manager, Service Supervisor, and Service Coordinators.
- Maintain accurate customer, equipment, and service records within the company’s service management system.
- Process incoming service requests and distribute information to the appropriate personnel.
- Prepare and maintain service-related documentation, reports, and correspondence.
Work Order Administration
- Create and update service work orders based on customer requests.
- Verify customer information, site details, and service requirements.
- Review completed work orders for accuracy, completeness, and required documentation.
- Ensure technician time, materials, and notes are recorded accurately prior to invoicing.
- Assist in closing work orders and forwarding completed documentation to accounting.
Customer Service Support
- Answer incoming phone calls and emails related to service inquiries.
- Support the resolution of customer inquiries in a professional and timely manner.
- Escalate urgent customer concerns to the Service Supervisor when necessary.
- Maintain positive customer relationships through responsive and professional communication.
Scheduling Support
- Assist with scheduling service calls, repair work orders, and preventive maintenance visits.
- Assist with appointment confirmations with customers.
Parts & Service Documentation
- Assist in tracking parts orders related to service work.
- Maintain records of pending parts, backorders, and customer follow-ups.
- Ensure all service records are maintained in accordance with company procedures.
Qualifications
- Diploma or certificate in Office Administration, Business Administration, or a related field is considered an asset.
- Minimum 1-3 years of administrative, customer service, or service support experience.
- Experience in construction, industrial services, facility maintenance, overhead doors, or a related industry is preferred.
- Experience with service scheduling or work order administration is an asset.
Knowledge & Skills
Technical Skills
- Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
- Experience using ERP, CRM, or service management software.
- Strong data entry and document management skills.
