The Site Administrator is responsible for coordinating site onboarding activities, maintaining project records, and providing administrative support to the construction management and project management team. The role acts as the primary interface for workforce onboarding, communications, and coordination between COOEC, client’s operation team, and COOEC’s contractors and subcontractors.

Location: Fort McMurray, Alberta

Key Responsibilities:

- Coordinate onboarding requirements for all project personnel. Track completion of site orientation and access requirements.
- Assist with tracking daily construction activities, including timesheets, crew logs, equipment movements, and personnel site access.
- Organize, file, and update essential project documentation, including permits, safety forms, material delivery tickets, and inspection checklists, ensuring compliance with company standards.
- Coordinate mobilization and demobilization of personnel, equipment mobilization and demobilization, and site access scheduling.
- Support the onboarding process for new site personnel,



including badge issuance, orientation coordination, camp booking and document verification.
- Maintain inventory of site office supplies and assist with general office upkeep to ensure a functional and efficient work environment.
- Support the CMT and PMT with daily administrative tasks. Facilitate smooth communication between the field site and the Calgary head office. Distribute project status updates and documentation.
- Follow up on outstanding technical and administrative requests.

Qualifications:

- Experience with site onboarding and workforce coordination.
- Strong organizational and time management skills, with attention to detail.
- Effective communication and interpersonal skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook, Teams)
- Ability to work independently while supporting team objectives.
- Willingness to learn and grow in a fast-paced project workplace.
