Quinte West
The Systems Analyst supports Capstone's internal systems ecosystem, with Entrata — Capstone's property management and CRM platform — as the primary system. This role is responsible for the day-to-day administration, troubleshooting, and optimization of the platforms that power daily operations across the organization, ensuring they remain functional, secure, and aligned with business needs.
In partnership with the CFO, this role also supports how data is structured, integrated, and delivered across systems, helping enable reporting frameworks and dashboards that translate operational and financial data into clear, actionable insights.
Lincoln, Capstone's parent company, provides IT and hardware support; this role owns the internal systems and technology needs specific to Capstone that fall outside of that scope, including FloQast, Leni, construction management software, the IT ticketing system for internally supported systems, and other Capstone-specific systems. This role also contributes to major technology projects such as the Oracle transition for corporate financials, and partners with the CFO, internal departments, and Lincoln to deploy AI solutions, identify efficiencies, and stay ahead of technology advancements and best practices.
This role is highly cross-functional and requires strong partnership with operations, leadership, and vendors to ensure that systems support, rather than constrain, the business.
Key Responsibilities
- Own and manage Entrata, Capstone's property management and CRM system, serving as the internal expert and point of contact across all communities and business units
- Support and manage the following additional key solutions:
- FloQast
- Leni
- Construction management software (to be identified)
- IT ticketing system (for internally supported systems)
- Other Capstone-specific systems as assigned
- Manage the IT ticketing system used to track and resolve requests for internally supported systems and solutions
- Serve as primary liaison with vendors and manage system relationships
- Continuously evaluate system capabilities, updates, and enhancements
- Collect, analyze, and interpret data to identify trends, risks, and opportunities
- Translate data insights into actionable recommendations to improve business operations (e.g., identifying missed revenue opportunities, data governance, compliance, etc.)
- Partner with leadership, including the CFO, to define system strategy, priorities, and roadmap
- Support the CFO in structuring, integrating, and delivering data across systems, including reporting frameworks and dashboards that translate operational and financial data into actionable insights
- Partner with the CFO, internal departments, and Lincoln to identify and deploy AI solutions, uncover operational efficiencies, and stay current on technology advancements and best practices
- Support system users through training, documentation, and troubleshooting
- Lead or support system implementations, change management, integrations, and enhancements
- Establish and maintain technology best practices and documentation across supported systems
- Manage onboarding and offboarding specifically for technology solutions not covered under Lincoln's IT support (e.g., hardware and Microsoft 365 provisioning), including related end-user training
- Monitor system adoption, data quality, and performance metrics
- Collaborate cross-functionally to align tools with business needs
- Communicate system updates, outages, and changes to stakeholders
Document Management
- Design and maintain structured file systems, shared resources, and standardized templates for Capstone-specific systems and workflows (e.g., Entrata, FloQast, Leni, construction software)
- Establish best practices for document management and version control within these Capstone-specific systems
- Ensure that Capstone-specific shared resources are organized, scalable, and aligned with how teams operate
- Continuously improve how information is stored, accessed, and maintained within these systems
Security, Risk & System Support
- Support security practices specific to Capstone's internally supported systems, including access control and data protection within those platforms
- Proactively identify vulnerabilities within Capstone-specific systems and help implement solutions to protect company data
- Partner with Lincoln's IT and security teams, as well as relevant vendors, to ensure Capstone-specific systems meet enterprise security expectations and standards
- Support incident response for issues specific to Capstone's internally supported systems and help implement preventative measures
Helpdesk Support & Issue Resolution
- Serve as the primary point of contact for issues related to Capstone-specific systems (e.g., Entrata, FloQast, Leni, construction software, IT ticketing system)
- Provide hands-on troubleshooting and resolution for complex or high-impact issues within these systems
- Support structured processes for intake, prioritization, and resolution of requests related to Capstone-specific systems
- Identify recurring issues within Capstone-specific systems and help implement long-term solutions to eliminate friction
- Enable teams through guidance, training, and clear documentation on the usage of Capstone-specific systems
Additional Projects
- Support the transition of corporate financial systems to Oracle, partnering with finance, accounting, and IT stakeholders on configuration, testing, and adoption
- Additional systems-related projects as assigned
Qualifications
- Strong real estate industry background required
- Entrata experience strongly desired
- Robust financial acumen; ability to translate system data into financial and operational insights
- Strong technical aptitude and systems-thinking mindset
- Advanced Excel skills required; SQL or similar tools preferred
- Ability to analyze data and translate it into business insights
- Strong organizational and project management skills
- Excellent communication and stakeholder management skills
- Self-starter capable of operating independently
- Experience training and supporting end users
- High attention to detail and problem-solving ability
- Takes ownership of identifying and driving revenue recovery and cost-saving opportunities through system data and process improvements
- Utilizes strong problem-solving skills to identify root causes and implement scalable, long-term solutions across systems and operations
Education and Experience
- 3+ years of experience in systems, operations, analytics, or similar roles
- Experience with Entrata or other property management/CRM platforms highly preferred
- Experience supporting financial or accounting systems (e.g., FloQast, Oracle) a plus
Compensation
Base salary range of $90,000 – $110,000, plus a target annual bonus of 10% of base, based on experience, education, and other lawful factors. In compliance with the Colorado Equal Pay for Equal Work Act (C.R.S. §8-5-101 et seq.), Capstone is committed to maintaining equitable and transparent pay practices and does not discriminate in compensation on the basis of sex or any other protected status.
