ABOUT THE POSITION
The Administrator, ProgramStandards supportsthe administrative functions of Program Standards department.The position requires a well-organized individual capable of efficiently managing a diverse set of responsibilities. The workload distribution may vary based on seasonal demands and project priorities. The Administratoris responsible forproviding administrativeassistancein the organization and execution of Program Standards workshops,programand exam development.
RESPONSIBILITIES/ACCOUNTABILITIES
- Provide day-to-day administrative support to the Program Standards team
- Identifyoperationalefficiencies and raise with team leaders,assistingwith finding solutions
- MonitorCRM and inboxand perform triageand dispatchof cases andqueries
- Liaise with department manager and team members
- Draft agenda based on input from team members
- Coordinate all documentation, review and distribute meeting minutes
- Facilitate smooth running of meetings
- Collate and process exam feedback forms
- Maintaining records/process invoices
- Ensuring supplies are stocked
- Covering PS Coordinator tasks, as needed
- Arrange logistical details related to Program Standards workshops:
- Maintaining workshop supply kits
- Booking travel arrangements for Subject Matter Experts, which includesliaising with the Subject Matter Experts(SMEs)directly, and providing excellent customer service to our SMEs
- Printing and collating documents
- Organizing food and refreshments
- Assistingwith room set up and clean up
- Being available during workshop to replenish suppliesand provide breaks for facilitators
- Manage post-workshop tasks, such as:
- Following up with expense reporting for workshop attendees
- Process allinvoices,Travel Expense Formsand Diners Club Statements, which includes following up with SMEs and training providers
- Track expenses andidentifyany outstanding amounts
- Provide financial summaries to leaders and communicate with Finance
- SupportAssessmentsteam with invoicing and other administrative tasks
- Make travel arrangements for team membersand process related invoices and expense forms
EDUCATION/EXPERIENCE
- Highschool diploma or equivalent is required, and post-secondary degree, diploma or equivalent is preferred; combination of education and experience will be considered.
- Proven experience in administrative roles, preferably in a training or education-related field.
- Experience in Administration with basic understanding of processing invoicing.
- Previous experience working with a CRM system.
- Proficiency in Office 365 software (Microsoft Office Suite)
- Ability to work in a fast-paced customer focused team with a dynamic workload.
- Knowledge of SkilledTradesBC policies, initiatives, programs, trades and programs standards is an asset.

COMPENSATION
Salary Band B: $60,831 - $82,300
