SUMMARY Reporting to the Senior Vice President - Strategic Sourcing and Procurement, the Senior Procurement Administrator plays a key role in supporting the Procurement team through the administration of vendor onboarding, contract and agreement management, procurement documentation, and compliance activities. This position is responsible for maintaining procurement systems, SharePoint repositories, and vendor records while ensuring the accuracy, integrity, and accessibility of procurement information. The role also supports the implementation and ongoing management of vendor performance and contract lifecycle management tools, contributing to the efficiency and effectiveness of the procurement function.
PRIMARY SCOPE OF ROLE Current Needs: NDA tracking and coordination.
Maintenance of master data, vendor set up – credit application response, management and consolidation.
Indirect Framework Agreement Management – SharePoint and adobe sign.
Strategic Sourcing Major Agreements – SharePoint and adobe sign.
Maintenance of all stream Procurement SharePoint file structures.
Maintenance of Procurement Standard templates – RFP/RFQ documents, purchase order terms and conditions, subcontracts, consultancy agreements, short and long forms etc.
Maintenance and updates of Procurement Section of the Bridge.
Maintenance and updates of M&A; introductory documentation.
Preferred Vendor Catalogue – Maintenance coordination.
Other Procurement Administrative support as and when required.
Support and enforce compliance – Policy, Process and Procedures.
Future Needs: Vendor Performance Management and CRM tool: Implementation of solution will require support, maintenance, monitoring etc. This person would help manually input vendors information where needed, and or help guide vendors through onboarding, set periodic renewals for preferred vendors, they would also act as a point person for.
POSITION REQUIREMENTS 5+ years of experience in procurement administration, contract administration, or supplier/vendor management.
Experience managing NDAs, vendor onboarding, master data maintenance, and agreement administration.
Proficiency with SharePoint, Adobe Sign, and Microsoft Office Suite, particularly Excel and Word.
Experience maintaining procurement documentation, templates, policies, and records management systems.
Knowledge of procurement processes, sourcing methodologies, contract management, and compliance requirements.
Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
Excellent written and verbal communication skills with the ability to work effectively with internal and external stakeholders.
Experience supporting vendor performance management, supplier onboarding, and preferred vendor programs is an asset.
High attention to detail, professionalism, discretion, and commitment to maintaining confidentiality and policy compliance.
WHAT WE OFFER Expected Base Salary: $80,000 – $105,000 per year. The actual base salary will depend on several factors including experience, qualifications, internal equity, work location and market expectations.
