Neegan Development is currently seeking a highly organized and detail-oriented Site Administrator to provide essential administrative support for our site-based operations. This role supports multiple departments and works closely with management, project personnel, and corporate teams to ensure efficient and accurate administrative processes.
Key Responsibilities
Provide general administrative support to site operations
Prepare and submit Daily Force Reports
Verify daily labour and equipment hours for billing accuracy
Collect and reconcile field data to address equipment discrepancies
Communicate crew changes, missed shifts, vacations, and employee documentation updates
Investigate and resolve payroll and pay-related inquiries in a timely manner
Complete daily and monthly reconciliations
Enter time into payroll systems and liaise with the payroll team
Upload daily entries into client billing systems and resolve any rejections
Validate reimbursable transactions in accordance with contract terms
Maintain a strong understanding of vendor agreements and compensation structures
Coordinate with leadership and contract teams for clarifications and approvals
Escalate unresolved issues appropriately and in a timely manner
Generate and distribute reports as required
Maintain accurate records and documentation for audits and reporting
Track cost recoveries and avoidances
Support management in achieving operational and strategic goals
Qualifications & Experience
Minimum 2-3 years of experience in a similar administrative role
Strong understanding of client/vendor contract structures (reimbursable vs. non-billable)
Proficiency in Microsoft Office (Excel, Word, PowerPoint)
Excellent written and verbal communication skills
Ability to work effectively with diverse teams and competing priorities
Solid organizational and time management skills
Ability to prioritize tasks and provide clear status updates
Capable of working independently with minimal supervision
Schedule
7 days on / 7 days off rotation (Wednesday to Tuesday)
