What you will do
Greet and welcome guests as they arrive at the office
Connect visitors with the appropriate point of contact
Answer, screen and forward incoming phone calls
Ensure reception area is neat, organized, and well stocked with all necessary stationery and materials
Provide accurate information in-person and via phone/email
Receive, sort, distribute and send daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk
Order office supplies, keep inventory of stock and ensure coffee machines are regularly serviced
Point of contact for vehicle rentals for staff
Update calendars, schedule meetings, update reservations for conference roomsMaintaining general cleanliness of general office areas and conference rooms
Point of contact for office maintenance and generic office communication
Perform other clerical receptionist duties such as filing, photocopying, data entry and faxing
This role could be for you if you have
Previous experience as a Receptionist, Front Office Representative or similar role
Proficiency in Microsoft Office Suite with an emphasis on Outlook and Excel
Professional and positive attitude
Excellent written and verbal communication skills
Ability to be resourceful and proactive to problem solve when required
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Strong customer service attitude
High school diploma; additional certification in Office Management is a plus
Fluent in both official languages, both written and oral.
