ABOUT THIS ROLE Our client is looking for an organised and proactive Project Coordinator to join their team and support the coordination of multiple projects from planning through to completion.
The successful candidate will play a key role in keeping project deadlines, reporting, communication, logistics, and deliveries on track, while coordinating with clients, suppliers, contractors, and internal teams.
This is an ideal opportunity for someone with robust project coordination or administration experience who enjoys working in a fast-paced environment and is confident managing multiple priorities and following up to ensure projects are delivered successfully.
WHAT YOU WILL DO Coordinate multiple projects from planning through to completion
Track project progress and ensure deadlines and milestones are met
Maintain project trackers and provide regular progress updates
Attend project meetings and communicate updates, actions, and outstanding requirements
Coordinate communication between internal teams, clients, suppliers, contractors, and field teams
Act as a central point of contact for project-related queries and follow up on outstanding actions
Liaise with contractors and field teams to ensure project requirements are actioned timeously
Coordinate production requirements and prepare relevant project documentation
Liaise with Studio and Design teams regarding artwork requirements and approvals
Ensure artwork and project requirements are finalised before production commences
Support procurement by providing accurate product specifications and project requirements
Assist with Purchase Orders,
supplier quotations, customer quotations, and cost estimates
Coordinate logistics and dispatch of finished goods to contractors and project sites
Obtain courier quotations and arrange collections and deliveries
Monitor deliveries and follow up with couriers, contractors, and internal teams to ensure deadlines are met
Assist with project-related invoicing, GRNs, and supplier documentation
Prepare and maintain project status reports and implementation trackers
Ensure project information and documentation is accurately captured and maintained
Identify potential delays or operational issues and follow up to minimise project impact
Support continuous improvement and ensure projects remain on track
WHAT WE ARE LOOKING FOR Project coordination or project administration experience
Excellent communication and coordination skills
Strong organisational and follow-up abilities
Experience liaising with clients, suppliers, and contractors
Ability to coordinate multiple projects and priorities simultaneously
Strong attention to detail and administrative accuracy
Excellent time management and ability to work to deadlines
Logistics and/or procurement experience will be advantageous
Experience with Sage X3 and/or OPUS will be advantageous
Strong Microsoft Office and Excel skills
Ability to work effectively in a fast-paced, deadline-driven environment
